About The Position

The Center for Disability Services is seeking an Assistant Supervisor - Fleet Maintenance/Scheduler in Albany, NY. This role manages the administrative functions of the fleet management program, administers the Servicefinder software, and schedules preventative maintenance and repairs for all CFDS vehicles. The position involves calculating pricing, completing paperwork for invoices, providing customer service, and resolving customer issues. The Assistant Supervisor will also maintain vehicle records and may be required to cover dispatch and mechanic/supervisor responsibilities when needed.

Requirements

  • High School diploma or equivalent is required.
  • At least 5 years of related experience specifically in: Diesels, gasoline mechanical experience, automotive work with the emphasis on hydraulics, air brakes, air conditioning systems or working knowledge of preventative maintenance techniques.
  • NYS Inspection license (light and heavy) required (must obtain within 3 months of hire if not certified).
  • CDL-B preferred at hire otherwise will train to get CDL-B as it is required for position.

Nice To Haves

  • Associates Degree is preferred.
  • Specialized training, license, certification, and skills – ASE certificates preferred.
  • Prior Supervisory experience preferred.

Responsibilities

  • Manages the administrative functions of the fleet management program.
  • Administers the Servicefinder software program ensuring the integrity and accuracy of the database.
  • Schedules preventative maintenance and repairs of fleet vehicles (for all CFDS vehicles).
  • Calculates pricing and completes all necessary paperwork for submitting invoices to Accounts Payable.
  • Provides customer service via phone and walk-in.
  • Assists all customers with maintenance scheduling including cost estimates for repairs.
  • Follows up with program managers for all overdue scheduled maintenance.
  • Sets up appointments for repairs, inspections, and vehicle detailing.
  • Provides assigned fleet mechanic with service schedule and work order forms.
  • Enters labor and parts information on completed work orders and finalizes work orders in Servicefinder.
  • Reviews all garage invoices for processing by Accounts Payable.
  • Resolves open items/issues to customer’s satisfaction.
  • Conducts parts inventory every 6 months or as needed.
  • Maintains vehicle records, Certificates of Title, Registrations and Insurance Cards for all Fleet vehicles.
  • Ability to cover dispatch responsibilities when needed.
  • Provides coverage for Mechanics and Supervisor when needed.
