About The Position

The Assistant Relocation Project Manager is responsible for the successful outcome of move projects, ensuring customer satisfaction, effective move communication, and transparent cost reconciliation for all move-related activities. This role involves forecasting financial requirements, preparing annual budgets, scheduling expenditures, analyzing variances, and implementing corrective actions to meet financial objectives. The position collaborates with the Occupancy Planning Manager to guide the move team through all move activities and participates in initial customer meetings. A key aspect of this role is acting as a change agent by reviewing and proposing improvements to current processes, policies, and practices.

Requirements

  • College degree preferred, but not required.
  • At least 3 years of experience in a corporate environment.
  • Minimum 2 years of supervisory experience in a related field.
  • Proficiency in a range of information technology tools and platforms.
  • Strong analytical, organizational, and presentation skills.
  • Excellent written and verbal communication skills.
  • Candidates must be authorized to work in the United States without sponsorship.

Responsibilities

  • Schedule and run pre-move meetings, providing timelines, strategy, and schedules.
  • Collaborate with supply chain and manage the Request for Proposal (RFP) process for move projects.
  • Schedule movers and coordinate with security, ensuring all necessary names are provided for badging.
  • Schedule the disconnect and reconnect of computers, servers, printers, and phones.
  • Be on-site to oversee vendors and the customer during all move activities.
  • Review completed moves and coordinate adjustments with vendors.
  • Submit service tickets for space cleaning, key delivery, and chair placement.
  • Schedule and conduct post-move meetings and activities.
  • Plan, budget, oversee, and document all aspects of assigned projects.
  • Provide additional support as required.
  • Follow up post-move by providing welcome communications with information on the new location and site services.
  • Schedule vendors for scrap pickup, recycling or reuse of excess furniture, and removal of chairs.
  • Provide vendors with a punch list of open items.
  • Coordinate the pickup of crates and/or boxes.
  • Clear contents of the origin location and prepare the space for subsequent group moves.
  • Create and maintain comprehensive project documentation.
  • Meet with administrators and team managers to discuss and guide them through move logistics, blocking, and details.
  • Define project scope in collaboration with senior management.
  • Update the move matrix, including customer information and technical requirements.
  • Assess cubicle conditions and order necessary parts or ergonomic changes.
  • Receive, compile, and review move lists for potential issues.
  • Review furniture layouts and determine placement for files and storage.
  • Ensure delivery of boxes, move labels, post pin-ups, and move instructions.
  • Determine mobile locations and prepare furniture for drop-in stations.
  • Manage, develop, and supervise a professional, friendly, creative, energetic, and detail-oriented team in delivering extraordinary events.
  • Provide excellent onboarding, training, and team-building experiences.
  • Actively support an environment of teamwork, cooperation, performance excellence, and personal success.
  • Participate in the individual performance management program and personal development planning for team members.
  • Align with the facilities leadership team and act in a managerial capacity for site-specific matters.
