About The Position

The Office of University Registrar at the University of Tennessee, Knoxville (UTK) invites applications and nominations for our Assistant Registrar for Faculty Services and Course Scheduling position. Requirements

  • Bachelor's degree
  • Two (2) years of progressive, professional responsibility in a collaborative office environment.
  • Direct experience with a student information system (or comparable enterprise database) and direct experience with room reservation/scheduling software.
  • Proficiency with Microsoft Office (or equivalent productivity suite).
  • Demonstrated ability to lead complex operational processes with multiple stakeholders, competing priorities, and fixed academic deadlines.
  • Strong analytical and critical thinking skills, including the ability to interpret data, identify trends, and recommend process and policy improvements.
  • Ability to interpret and apply academic policies, procedures, and records requirements; ability to communicate policy and operational impacts clearly to diverse audiences.
  • Strong written, oral, and interpersonal communication skills; ability to build effective working relationships with faculty, staff, academic leadership, and administrative partners.
  • High attention to detail and commitment to data integrity, accuracy, and documentation standards in enterprise systems.
  • Demonstrated customer service orientation and ability to manage sensitive or high-impact issues with professionalism and discretion.
  • Working knowledge of integrated student information systems and related scheduling/room management platforms.
  • Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment-based visa status.

  • Direct experience with Banner and 25Live (or comparable SIS and room scheduling platforms).
  • Experience supporting academic scheduling, room optimization, exam scheduling, or related registrar functions.
  • Functional end-user expertise in enterprise SIS and scheduling applications, including best practices in data entry, data maintenance, reporting/data extracts, and data governance.
  • Experience developing training materials, facilitating training sessions, and implementing standardized business processes across decentralized units.

Responsibilities

  • Provides leadership for the planning, governance, and execution of the University’s course scheduling, classroom assignment, and exam scheduling functions.
  • Serves as a key partner to colleges, departments, and central campus stakeholders to ensure the integrity, accuracy, and timely publication of the academic schedule in the student information system (SIS) and related scheduling platforms.
  • Leads process improvement initiatives, establishes and maintains operational standards and documentation, and supports institutional compliance with academic policy and records requirements as they relate to the schedule of classes.
  • Supports faculty services initiatives through data stewardship, reporting, and cross-functional coordination.
