The Assistant Property Manager supports the Property Manager & General Manager in the day-to-day operations and overall management of a residential property portfolio. This role is responsible for assisting with overseeing onsite teams, vendor relationships, capital and apartment improvement projects, resident satisfaction, compliance initiatives, and operational excellence. It is required that this role understands all levels of the coordinator roles including but not limited to the renewal process, tenant communication, invoicing, aged receivable & escalated legal communication. This role will be responsible for managing direct reports and managing weekly reports. This role will work closely with Community Management, Leasing, Lease Administration, Engineering, and third-party service providers, the Assistant Property Manager ensures that property operations are executed efficiently, safely, and in accordance with company standards while delivering exceptional resident experience.

Requirements

  • 3+ years of experience in residential property management, multifamily operations, hospitality, or a related real estate environment.
  • Demonstrated experience managing property operations & vendors.
  • Some financial acumen, including budgeting, forecasting, accruals, and variance analysis.
  • Knowledge of building systems, maintenance operations, service contracts, and vendor management.
  • Experience leading and developing onsite teams in a customer-focused environment.
  • Excellent interpersonal, communication, and problem-solving skills.
  • Proficiency with Microsoft Office Suite and property management software platforms.

Nice To Haves

  • Bachelor’s degree preferred.
  • Knowledge of New York City residential property operations and applicable local laws preferred.

Responsibilities

  • Assist the Property Manager by providing leadership, direction, and support to Community Managers, Assistant Community Managers, Community Associates, and Front Desk/Concierge teams.
  • Partner with Leasing and Lease Administration teams to foster a collaborative, solutions-oriented environment.
  • Own the aged receivable & legal escalation process for all matters relating to the property under the advisory of the PM & GM.
  • Assist the Lease Administration team on an as-needed basis.
  • Ensure compliance with all company policies, procedures, local laws, and regulatory requirements.
  • Oversee building maintenance operations, repairs, and critical building systems to ensure optimal performance.
  • Negotiate, bid, award, and manage vendor and service contracts while ensuring compliance with procurement policies and contractual obligations as directed.
  • Monitor third-party contractor performance and compliance with municipal codes, safety standards, and property requirements as directed.
  • Assist with response efforts as-needed during building emergencies, including resident communications, vendor coordination, and corrective action implementation.
  • Handle resident concerns and have the ability to escalate as warranted.
  • Develop and implement property management standard operating procedures (SOPs) for the coordinator levels.
  • Ensure successful completion of audits, inspections, and operational reviews.
  • Conduct property tours and professionally represent the company with residents, vendors, and stakeholders.
  • Perform additional duties as assigned.
