About The Position

The Assistant Property Manager will report to the building’s Property Manager and assists with the management and operations of office buildings and complexes. While primarily focused on day-to-day site and tenant matters, you will both support and act as backup for Property Managers when required. You will build and maintain positive relationships with customers, vendors and team members, and assist with reporting, budgeting, lease administration and special projects as assigned by your people leaders.

Requirements

  • A basic understanding of financial concepts and contracts, with the ability to interpret financial reports and non-complex legal clauses.
  • Intermediate proficiency in the Microsoft Office Suite.

Nice To Haves

  • A minimum of 1–4 years of related commercial real estate experience or post-secondary education (mandatory); 2–4 years of commercial real estate experience with demonstrated expertise in property management and/or post-secondary education preferred.
  • Real estate license, or RPA/FMA or PMP designation, considered an asset.

Responsibilities

  • Establish ongoing relationships to understand and respond to tenant needs and concerns.
  • Manage and assist with tenant onboarding / offboarding processes.
  • Act as a liaison between tenants and site teams.
  • Ensure tenants are compliant with all building policies.
  • Resolve minor escalated customer concerns.
  • Serve as the point of contact for the tenant app.
  • Prepare and deliver notices to tenants with respect to lease administration.
  • Maintain knowledge of, and the ability to interpret, lease clauses to ensure tenant compliance.
  • Assist the PM / SPM to ensure all reports are prepared accurately and in a timely manner.
  • Assist the PM / SPM and property administration with accruals, reforecasting and budgeting.
  • Assist with the annual preparation of budgets and quarterly reforecasts.
  • Prepare and coordinate reports and presentations as required.
  • Based on the portfolio, take responsibility for certain vendors (e.g., parking) or building amenities (e.g., fitness, lounges).
  • Complete special projects as assigned by the PM / SPM.
  • Based on level of experience and size of portfolio, you may have people-manager responsibilities, typically including administrative staff or coordinators.
