About The Position

The Assistant Property Manager will assist the Property Manager with the overall management of all apartments to ensure that income is maximized, expenses minimized, and value preserved and increased.  To achieve goals, objectives, mission statement and polices of the owner and Company at a predetermined profit per annual budget.  To provide professional, ethical management and service to residents.

Requirements

  • High School Diploma or equivalent
  • Knowledge of apartment property management normally acquired by two years of college or comparable work experience.
  • Knowledge of apartment property management or management experience normally acquired by one year as a property or assistant manager.

Responsibilities

  • Participate in creating a management plan for the property (yearly).
  • Assist the Property Manager in creating the annual budget.
  • Maintain resident ledger accounts.  Post all batches, receipts, charges, and credits to accounts accurately. Maintain delinquency and bad debt tracking systems.  Reviews delinquency accounts and facilitates collection process, including the service of late, court, eviction, and small balance notices.   Accurately follows UD tracking.
  • Ensure that all banking procedures are followed and that deposits are made promptly.
  • Address all resident issues in a prompt and professional manner.
  • Update and maintain inventory of all office and leasing forms, equipment and supplies.
  • In conjunction with PM, plan and manage apartment turnover processes and procedure.
  • Assist PM with security deposit returns.
  • Assist PM with maintaining all on-site records pertaining to residents, bills, vendors, contracts and property matters.
  • Follow up on service requests to confirm that the staff has satisfactorily completed assigned maintenance work.  Further, assist PM and MM on following up with residents who complete Bird Eye Resident Satisfaction surveys.
  • Along with the PM and MM, review and implement new resident rental criteria as needed.
  • Have knowledge and understanding of company policy and applicable governing laws – confidentiality, Fair Housing Law, Virginia Landlord and Tenant Act, ADA, etc.
  • Responsible for thorough knowledge of the lease agreement and leasing procedures, including the ability to take tours, send, and sign lease agreements, property policy and procedures and company policy and procedures.
  • Maintain and supervise property key control policy.
  • Assist marketing and leasing as needed including shows, calls, inspections, application processing, move-in’s, etc.
  • Schedule routine contract work as assigned by manager.
  • Complete word processing, spreadsheets and projects as assigned by manager.
  • Responsible for front office appearance and maintenance.  Reception area must always be neat, professional, clean, orderly and inviting.
  • Routing suggestions made for improvements in office operation.
  • Assist PM with and respond to emergency situations on the property (daily, nights, weekends or holidays).
  • Act as the PM in the absence of or vacancy of the position.
