Requirements

  • High School Diploma or equivalent
  • Knowledge of apartment property management normally acquired by two years of college or comparable work experience.
  • Knowledge of apartment property management or management experience normally acquired by one year as a property or assistant manager.

Responsibilities

  • Assist the Property Manager with the overall management of all apartments to ensure that income is maximized, expenses minimized, and value preserved and increased.
  • Ensure that income is maximized, expenses are minimized, and property value is preserved and increased, aligning with the owner's and Company's goals, objectives, mission statement, and policies.
  • Provide professional and ethical management and service to residents.
  • Participate in creating a management plan for the property (yearly).
  • Assist the Property Manager in creating the annual budget.
  • Maintain resident ledger accounts, posting all batches, receipts, charges, and credits accurately.
  • Maintain delinquency and bad debt tracking systems, review delinquency accounts, and facilitate the collection process, including serving notices.
  • Ensure all banking procedures are followed and deposits are made promptly.
  • Address all resident issues promptly and professionally.
  • Update and maintain inventory of all office and leasing forms, equipment, and supplies.
  • Plan and manage apartment turnover processes and procedures in conjunction with the Property Manager.
  • Assist the Property Manager with security deposit returns.
  • Assist the Property Manager with maintaining all on-site records pertaining to residents, bills, vendors, contracts, and property matters.
  • Follow up on service requests to confirm satisfactory completion of assigned maintenance work.
  • Assist the Property Manager and Maintenance Manager in following up with residents who complete Bird Eye Resident Satisfaction surveys.
  • Review and implement new resident rental criteria as needed, along with the Property Manager and Maintenance Manager.
  • Maintain thorough knowledge of company policy and applicable governing laws, including confidentiality, Fair Housing Law, Virginia Landlord and Tenant Act, and ADA.
  • Possess thorough knowledge of the lease agreement and leasing procedures, including the ability to conduct tours, send and sign lease agreements, and understand property, policy, and company procedures.
  • Maintain and supervise the property key control policy.
  • Assist with marketing and leasing efforts as needed, including shows, calls, inspections, application processing, and move-ins.
  • Schedule routine contract work as assigned by the manager.
  • Complete word processing, spreadsheets, and projects as assigned by the manager.
  • Maintain the front office appearance and maintenance, ensuring the reception area is always neat, professional, clean, orderly, and inviting.
  • Provide suggestions for improvements in office operations.
  • Assist the Property Manager with and respond to emergency situations on the property (daily, nights, weekends, or holidays).
  • Act as the Property Manager in the absence of or vacancy of the position.
