About The Position

The Assistant Property Manager (APM) performs tasks associated with property operations, including collections, resident services, lease renewals, invoice processing, monthly financial close-out and reporting, and maintenance requests. The APM ensures compliance with JLL policies, applicable laws, and ordinances, including Fair Housing and Equal Employment laws. The role ensures the property is maintained to established standards and objectives, and that JLL customer service standards are applied to residents, clients, and associates. The APM assumes responsibility for property operations in the absence of the Property Manager (PM). This position will support one lease-up property and one stabilized property in Coral Gables, FL. Weekends are required.

Requirements

  • High school diploma or equivalent required
  • One to two years of onsite residential property management experience
  • Experience in supervisory role and managing staff
  • Financial acumen/experience writing and maintaining budgets; general understanding of accounting principles
  • Proficient in property management software (Yardi, RealPage) or other similar property management software
  • Excellent customer service skills while maintaining the highest standards of professionalism
  • Strong grasp of modern technology and the ability to utilize same in day to day job activities
  • Computer literate, including Microsoft Office Suite and internet navigation skills
  • General office, bookkeeping and sales skills
  • Excellent oral and written communication skills; strong attention to detail
  • Work independently and within a team to build relationships and interact effectively with business partners

Responsibilities

  • Administer the lease renewal program, including preparing renewals for review, generating and delivering renewal letters and leases, and updating resident information.
  • Assist the Property Manager (PM) in developing and implementing marketing and resident retention programs by reviewing leasing reports, occupancy/vacancy trends, and resident files.
  • Assist with resident-related functions such as move-out notices, transfers, work orders, and processing concerns/complaints.
  • Maintain accounts receivable, ensuring rents and fees are billed and collected according to JLL guidelines, and maintaining targeted delinquency goals.
  • Manage rent collection policies for residents with outstanding balances, submitting monthly reports to the PM and turning over files to a third-party collection agency.
  • Initiate and manage the eviction process with attorneys, adhering to local laws.
  • Calculate and generate security deposit refunds or reimbursements, prepare notices, and inspect move-outs to document charges.
  • Assist the PM in meeting property standards for grounds, safety, cleanliness, and appearance.
  • Assist the PM with client satisfaction through accurate reporting and communication about community performance, and respond to client/owner concerns.
  • Provide superior customer service and communication to residents and prospects to enhance satisfaction, retention, revenue, reputation, and profitability.
  • Assist the PM in generating required reports, including weekly, monthly, and quarterly leasing, variance, and capital reports.
  • Comply with company policies and procedures, including standards of performance (SOP).
  • Monitor resident selection criteria in accordance with federal and state regulations, and adhere to all local and state laws, including Fair Housing, ADA, and Section 504 regulations.
