About The Position

Occidental Management, Inc. is seeking an Assistant Property Manager for the Overland Park Xchange, a Class A commercial office campus. This role is central to the efficient operation of the property, involving lease administration, vendor coordination, tenant relations, and financial reporting. The position is full-time, hourly, and based on-site at the Overland Park Xchange campus, reporting to the Property Manager or their designee.

Requirements

  • Previous experience in a commercial or multi-family property management role.
  • Strong administrative skills, including document management, lease administration, contract tracking, and database maintenance.
  • Proficiency in Microsoft 365 (Word, Excel, Outlook, Teams).
  • Solid written and verbal communication skills.
  • Meticulous attention to detail, especially around invoice coding, financial reporting, and compliance tracking.
  • Ability to manage competing priorities and shifting deadlines without losing accuracy.
  • Valid driver’s license and insurable driving record.
  • Ability to lift, move, and carry up to 50 lbs on an occasional basis.

Nice To Haves

  • Experience with property management software.
  • Familiarity with commercial lease structures and brokerage administration.
  • Experience with tenant bill-back processing or property financial oversight.
  • Equivalent combinations of education and experience are welcome.

Responsibilities

  • Supporting property operations by answering phones, preparing reports, managing correspondence, and ensuring office efficiency.
  • Managing financial tasks including coding and tracking invoices, assisting with monthly and quarterly financial reports, processing tenant bill-backs, and supporting annual budget preparation.
  • Ensuring contracts and compliance are in order by preparing bid proposals and service contracts, monitoring insurance certificates, tracking expirations, and maintaining lease and contract files.
  • Owning the work order system by maintaining property maintenance and purchase order systems, tracking tenant work order status, and ensuring accurate and timely documentation.
  • Supporting lease administration by abstracting leases, coordinating tenant move-ins and move-outs, and keeping tenant information current in the database.
  • Building tenant relationships by tracking service calls, coordinating tenant engagement efforts (handbooks, newsletters, events), and serving as a professional point of contact for tenants and vendors.
