About The Position

Federal Realty Investment Trust is seeking an Assistant Property Manager – Office to support the day-to-day operations of a portfolio of Class A office properties. This role reports to the Senior Office Property Manager and is crucial for tenant relations, vendor coordination, financial administration, and overall property operations. The ideal candidate is highly organized, proactive, service-oriented, and detail-focused, with a desire to grow in property management.

Requirements

  • 3–5 years of experience in commercial property management, operations, or a related real estate role preferred.
  • Office or mixed-use property experience preferred.
  • Bachelor’s degree preferred or equivalent relevant experience.
  • Strong organizational skills with excellent attention to detail.
  • Solid financial aptitude with experience supporting budgets and expense tracking.
  • Proven customer service mindset with the ability to manage tenant relationships professionally.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Strong written, verbal, and interpersonal communication skills.
  • Intermediate proficiency in Microsoft Outlook, Excel, and Word; experience with property management systems is a plus.
  • Ability to perform on-site inspections, including walking or standing for extended periods, with reasonable accommodation as needed.

Responsibilities

  • Serve as a primary day-to-day contact for tenants, responding promptly to requests related to maintenance, janitorial, lease provisions, and general building operations.
  • Maintain and strengthen tenant relationships through regular communication and on-site interaction.
  • Track tenant compliance items, including certificates of insurance, maintenance obligations, and special lease provisions.
  • Assist in resolving tenant concerns and escalating issues as appropriate.
  • Collaborate with Leasing, Marketing, and Tenant Coordination teams to support tenant satisfaction and business objectives.
  • Assist with the oversight of third-party vendors, including engineering, janitorial, security, window washing, and specialty maintenance contractors.
  • Conduct routine property inspections and quality control walks; coordinate corrective actions with vendors and tenants.
  • Review security and inspection reports and follow up on identified issues.
  • Support coordination of capital and maintenance projects, including contractor communication and progress tracking.
  • Code, research, and process invoices; ensure timely and accurate payment.
  • Assist with preparation of the annual operating budget, quarterly reforecasts, and monthly variance reports.
  • Track operating expenses to ensure alignment with budget parameters.
  • Support accruals, reclasses, tenant billings, aged receivables, and sales report collections in partnership with Property Accounting.
  • Maintain organized property files, vendor records, and tenant contact databases.
  • Partner with Marketing on property events and tenant activation initiatives.
  • Coordinate with Tenant Coordination to support landlord work and tenant deliveries.
  • Assist with special events, inspections, and after-hours operational needs as required.
  • Provide general administrative support to the property management team, including scheduling, correspondence, and reporting.
  • Perform other duties and special projects as assigned.
