About The Position

We are seeking a grounded, highly organized, and mission-driven leader to join our team as an Assistant Operations Director. In this role, you will serve as the administrative backbone of our sober living environment. While our mission is recovery, your focus will be the precision of our operations—ensuring that staff are trained, schedules are seamless, and administrative data is flawless. You will work closely with the Operations Director to manage the "gears" of the facility, maintaining a culture of accountability, professional development, and operational excellence. This role requires flexible availability for evening, weekend, and holiday check-ins to ensure staff performance standards and provide emergency operational support.

Requirements

  • 1–3 years of experience in a Lead or Supervisory role, specifically within a Substance Use Disorder (SUD) treatment or residential setting.
  • High comfort level with Paycom (or similar HRIS systems) and a passion for administrative accuracy.
  • Advanced proficiency in EMR (Electronic Medical Record) software and spreadsheet management for tracking resident and operational data.
  • Proven ability to manage a diverse team and hold others accountable with compassion.
  • Familiarity with recovery terminology (Stages of Change, 12-Step/Smart Recovery) and the ability to train junior staff on these concepts.
  • CPR/First Aid Certification (or ability to obtain within 30 days).

Responsibilities

  • Serve as the primary administrator for staff timecards; consistently and accurately monitor punches, manage PTO requests, and resolve discrepancies to ensure 100% payroll accuracy.
  • Design and maintain master schedules for the Resident Mentor (RM) team to ensure 24/7 coverage, managing shift swaps and emergency backfill with ease.
  • Support the Operations Director in budget tracking, data reporting, and the iterative development of operational protocols.
  • Lead the recruitment and onboarding process for new hires; design and implement training modules for staff professional development.
  • Conduct regular performance evaluations and provide actionable feedback to frontline staff to foster a high-performance culture.
  • Direct weekly staff meetings to communicate operational changes and ensure team alignment.
  • Create and manage the master calendar for resident activities, including therapeutic groups, community outings, and house meetings.
  • Conduct systematic audits of staff documentation—including shift logs, incident reports, and toxicology records—to ensure compliance with state licensing and accreditation standards.
  • Oversee facility maintenance schedules and vendor relations to ensure a safe, dignified, and high-quality living environment.
  • Enforce house rules, safety protocols, and the integrity of random toxicology screenings (UDS/breathalyzer).
  • Serve as a secondary authority for high-tension incidents, utilizing Trauma-Informed Care to resolve conflicts.
  • Maintain meticulous resident records and medication oversight in strict accordance with HIPAA.
