About The Position

The primary responsibility of the Assistant Office Manager is to assist with the day-to-day operations of the office processes and support the programs in all aspects of routine administrative duties. The Assistant Office Manager manages student data and related systems. The Assistant Office Manager follows the school schedule, working 37.5 hours per week (75 hours per check). This position is located at the Easterseals Academy - Tinley Park Campus at 17300 Ozark Avenue, Tinley Park, IL 60477.

Requirements

  • High School Diploma or equivalent
  • Minimum 1 year of administrative experience in a professional environment
  • Ability to multi-task in a high-stress environment

  • Intermediate-level knowledge of Microsoft Word, PowerPoint, Teams, Outlook, and Excel.

  • Well-organized and detail-oriented with an emphasis on accuracy

Responsibilities

  • Maintain and review student files; including following up with families, case managers, nurse, and student teams to ensure that documents are completed and filed appropriately and in a timely manner.
  • Support case manager in creation and return process for student files ensuring compliance with state guidelines.
  • Support Office Manager in attendance monitoring and follow up.
  • Process districts contracts throughout the year.
  • Enter student RTO data in appropriate systems.
  • Give monthly update regarding student data compliance.
  • Submit all necessary compliance letters to districts in a timely manner.
  • Collaborate with the Principal and Office Manager to ensure family communication goes out quickly, using multiple communication methods.
  • Update and maintain student database systems including family communication systems to meet internal and external requirements.
  • Update and enter grades and transcripts in the state system quarterly.
  • Update and maintain data systems required for academy monitoring and programmatic reviews.
  • Greet visitors, assist with parent/guardian concerns, and answer staff questions.
  • Answer phones, route calls, and manage the school office with Office Manager.
  • Document and deliver phone messages to appropriate recipients.
  • Coordinate messenger service and mailings as needed.
  • Support office manager in duties as assigned.
  • All other duties as assigned.
