About The Position

Southern Illinois University Edwardsville (SIUE) is seeking an Assistant Museum Collections Registrar (CS27-024) to support its ambitious institutional goals. SIUE is a premier metropolitan university focused on advancing social and economic mobility and shaping the future workforce through comprehensive education and hands-on research. The University Museum, founded in 1979, serves as a repository and interpretive center with over 40,000 objects spanning art, architecture, history, ethnology, archaeology, and natural sciences. It plays a vital role in creating a culturally diverse environment at SIUE through its programming, campus art installations, and opportunities for student research and professional development. The museum also engages in outreach to regional educational facilities and non-profit museums and galleries.

Requirements

  • Any one or any combination totaling three (3) years (36 months) of college coursework in anthropology, museum studies or a closely related field (30 semester hours equals one year; Associate’s Degree equals 18 months; 90 semester hours equals two years; Bachelor’s Degree equals three years).
  • OR Any one or any combination totaling three (3) years (36 months) of work experience that provided knowledge of anthropology or museum studies and techniques used in the preservation, restoration, and/or exhibition of museum collections.
  • Strong communication skills: visual, verbal and written.
  • Excellent organizational skills, problem solving skills, follow-through, and attention to detail.
  • Knowledge of provenance research, and cultural property issues.
  • Experience with digital asset management and photographic documentation.
  • At least one year of working with museum collections database systems (e.g., PastPerfect, TMS, or similar).
  • Ability to lift and move artworks and materials (up to 40lbs.).
  • Work may involve frequent bending, squatting, stooping, climbing, and sitting and standing for prolonged periods.
  • Possess basic skills in tools used for packing, unpacking, and installation of artwork.
  • Manual dexterity for safe object handling.
  • Must have a valid driver's license.

Nice To Haves

  • One (1) year (12 months) of work experience in a museum working in collections management or registration.
  • Master's degree in museum studies, art history, or related field.
  • Experience in a university or academic museum setting.
  • Knowledge of copyright, provenance research, and cultural property issues.
  • Experience in digital asset management and photographic documentation.

Responsibilities

  • Accurately execute physical and intellectual collections management functions for the museum's art and cultural heritage collections in accordance with established policies and procedures.
  • Maintain physical and digital collections records and documentation for acquisitions, loans, deaccessions, transfers, inventories, and exhibitions.
  • Process associated forms and records and coordinate routine communications with donors, lenders, borrowers, and vendors.
  • Maintain location records, conduct inventories and condition assessments, and prepare documentation for loans, exhibitions, and transport.
  • Support NAGPRA compliance through documentation, records review, inventory support, data preparation, and reporting.
  • Assist with tribal consultations and related compliance documentation under supervision.
  • Maintain and improve collections database records and digital assets, including data entry, cleanup, reporting, and support for system updates and migration projects.
  • Assist curatorial staff with exhibitions and Art-on-Campus works, providing registrarial support including object tracking, location control, condition documentation, and records management.
  • Prepare object labels, text panels, and support exhibition-related digital content.
  • Assist in maintaining and updating collections management policies and procedures.
  • Assist with provenance research and provide procedural support and training to student assistants.
