About The Position

This position serves as the Assistant Module Lead for the Academic Advising Systems module within the Common Management System (CMS) Student Administration. The role is crucial for maintaining the stability, efficiency, and accuracy of Advising and E-Advising systems, including Degree Planner and EAB, to support the university's student success goals. Responsibilities encompass general module support and processing, project implementation assistance, in-depth system testing, analysis, troubleshooting, issue triage, security maintenance, and the creation of end-user documentation and training. The incumbent will utilize a student-centered and equity-minded approach in all interactions, ensuring services are equitable, inclusive, and culturally sensitive to enhance campus life.

Requirements

  • Equivalent to a bachelor's degree in a related field.
  • Strong knowledge of student information systems and academic advising or student records.
  • Functional understanding of database structures, cloud-based information systems, and data extraction.
  • Excellent analytical and troubleshooting skills for resolving complex system issues.
  • Ability to analyze data and situations, make accurate recommendations, and support the development or improvement of administrative policies, procedures, and programs.
  • Ability to accurately interpret and apply academic and administrative policies.
  • Highly organized and self-directed, capable of managing multiple priorities independently.
  • Proficiency in using tools such as MS Word, PowerPoint, Excel, Camtasia Studio, Visio, and ServiceNow.
  • Ability to analyze user needs and translate them into complex business rules.
  • Ability to quickly learn new systems and feature updates.
  • Ability to produce clear communications, tutorials, and technical documentation for campus users.
  • Proven technical writing, training, and presentation experience.
  • Ability to communicate clearly and professionally.
  • Ability to build strong working relationships across a diverse university community.
  • Ability to treat all customers with dignity and respect.
  • Ability to maintain a safe work environment.
  • Ability to document roles and responsibilities to ensure operational continuity.

Responsibilities

  • Assists with systems implementation, testing, set up, data validation, configuration, and maintenance of Academic Advising systems.
  • Coordinates Academic Advising related processing such as degree clearing, degree audit, and timely graduation.
  • Performs troubleshooting and quality control assurance for advising systems.
  • Conducts data analysis and cleanup of reporting files associated with Student Records.
  • Tests and validates updates and fixes to Academic Advising and Student Records student information systems, including PeopleSoft Campus Solutions and third-party products.
  • Coordinates and maintains security access to the Student Administration System, CS-Link, and third-party systems.
  • Documents business processes.
  • Creates and delivers training courses.
  • Serves as the primary contact for user inquiries.
