About The Position

This role supports the community manager in the daily financial operations of the community. Responsibilities include collecting and posting rent, processing payments, preparing deposits and financial reports, and managing invoices and payables. The Assistant Manager will operate property management software, review resident files for delinquencies, communicate with residents about outstanding balances, and implement collection procedures. They will also process resident move-outs, manage evictions according to company procedures, and ensure resident satisfaction by addressing complaints and resolving service issues. In the absence of the community manager, the Assistant Manager will act as the on-site supervisor, organizing daily work, coordinating maintenance, and managing community operations. The role also involves assisting with leasing, showing apartments, processing applications, and preparing lease and move-in documents, all while promoting a positive image of the community and management company.

Responsibilities

  • Completes daily transactions and tasks related to the financial operation of the community by collecting and posting rent, fees, and other payments.
  • Prepares daily bank deposits and monthly close-out reports.
  • Processes invoices and payables.
  • Operates property management software, ensuring correct data entry and completing updates and backups.
  • Reviews resident files and accounting records to determine unpaid and/or late fees owed.
  • Communicates with residents regarding outstanding balances and implements procedures for collecting on delinquencies.
  • Enforces the lease to maximize revenue.
  • Reviews and submits invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased.
  • Obtains community manager approval for invoices, codes charges to appropriate Chart of Account codes, and manages communication between vendors, accounting, and the client/owner.
  • Follows established procedures related to evictions, including proper notice requirements and representing the community in court hearings.
  • Processes resident move-outs by reviewing lease terms and notice requirements, applying appropriate deposit and lease cancellation fees, and processing the disposition.
  • Promotes resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner.
  • Takes appropriate action to resolve and address service issues.
  • Acts as the on-site supervisor in the absence of the community manager by organizing and delegating daily work.
  • Coordinates maintenance and make-ready tasks with the maintenance supervisor.
  • Manages the operation of the community in compliance with Company policies, procedures, and business practices.
  • Offers support and assists with leasing, showing apartments to prospects.
  • Completes follow-up and processes applications.
  • Prepares the lease and move-in documents.
  • Promotes a positive image of the apartment community and management company.
