About The Position

The Assistant Manager plays a key role in the financial operations of the community and supports leasing efforts. This position involves managing daily financial transactions, ensuring the accuracy of property management software, collecting outstanding payments, processing vendor invoices, and handling resident move-outs. The Assistant Manager also promotes resident satisfaction by addressing concerns and acts as an on-site supervisor in the absence of the Community Manager. Additionally, they assist with leasing activities, including showing apartments, processing applications, and preparing move-in documents. A positive image of the apartment community and management company is to be maintained.

Requirements

  • High School or equivalent
  • Strong Math Skills
  • Driver's License
  • Must not have criminal history involving illegal drug use, public indecency, theft, or crimes against persons or property, unless exceptions are made based on specific circumstances.
  • Must disclose any criminal history on the employment application.
  • Must pass a Drug Screen Test and not test positive for illegal drug use or alcohol abuse.

Responsibilities

  • Collects and posts rent, fees, and other payments.
  • Prepares daily bank deposits and monthly close-out reports.
  • Processes invoices and payables.
  • Operates property management software, ensuring accurate data entry, updates, and backups.
  • Reviews resident files to identify unpaid and/or late fees.
  • Communicates with residents regarding outstanding balances and implements collection procedures.
  • Enforces lease terms to maximize revenue.
  • Reviews and submits vendor invoices for payment, reconciling work performed and coding charges.
  • Manages communication between vendors, accounting, and clients/owners.
  • Follows established procedures for evictions, including notice requirements and court representation.
  • Processes resident move-outs in accordance with lease terms and legal requirements.
  • Promotes resident satisfaction and retention by responding to complaints and resolving service issues.
  • Acts as on-site supervisor in the absence of the community manager, organizing daily work and coordinating tasks.
  • Assists with leasing, showing apartments to prospects, completing follow-up, and processing applications.
  • Prepares lease and move-in documents.
  • Promotes a positive image of the apartment community and management company.
