About The Position

The focus of this position is to coordinate, provide technical support, and supervise students with the set-up and take-down of equipment for all events held at the University and coordinated by Meeting and Conference Services. The position is also responsible for maintaining, operating, and servicing audio visual equipment owned or operated by Meeting and Conference Services. This individual will hire, train, and manage the student staff. They will be part of an "on call" rotation for support under Meeting and Conference Services, both weekdays and weekends, and assist with all events held on campus during that time. In addition, they are on call for technical support during weekdays and weekends. They will field students' questions regarding event setup, equipment, and technical assistance. This position holds authority over the Audio-Visual Department in the absence of the Manager of Event Technology & Operations. The MACS AV Students will report to this individual.

Requirements

  • Bachelor’s degree in music technology, digital media productions or related field.
  • Two (2) year of experience operating, maintaining, and repairing audio visual equipment to include speakers, projectors, televisions, etc. required.
  • One (1) year experience assembling audio/visual equipment preferred.

Responsibilities

  • Coordinate and provide technical support as assigned to include set-up and take-down of equipment for all events coordinated by Meeting and Conference Services.
  • Select equipment for each event and utilize available resources to provide the best possible service.
  • Assemble audio/visual systems for major events, maintain equipment owned and operated by Meeting and Conference Services and suggest repairs and/or acquisitions when necessary.
  • Perform trouble shooting, routine repairs and suggest the acquisition of necessary tools, machinery, and/or diagnostic equipment.
  • Participate in weekly meetings with Service Centers and other staff to discuss current issues, upcoming events, and training/developmental concerns.
  • Provide on-site supervision of high-profile events that rely on industry standard supporting including Board of Governors, President’s Meetings, Admission Days, major guest keynote speakers, commencements, and any other large-scale events that represent the University.
  • Serve as technical authority for audio visual needs for the university.
  • Utilize 25Live to assist with any office needs, including processing events to the proper coordinator and communicating with clients to ensure they are staying up to date with their event status.
  • Continued education expected to meet current industry standard in AV; travel to maintain standards may be necessary.
  • Serve as the coordinator of the hiring and on-boarding program for the Audio-Visual Student Techs.
  • Management of hiring, scheduling, supervising, training, and evaluating student employees assigned to provide technical support for events sponsored by the University and delegated to MACS.
  • Supervise and monitor students that provide technical support for events.
  • Assist with the yearly updating and creating of new print and media student employee training material.
  • Schedule the Audio-Visual Techs shifts utilizing the WhenToWork software.
  • Monitor day to day event operations from setup to teardown.
  • Monitor and troubleshoot during events.
  • Conduct meetings with staff and provide instructional materials, updates, audits as needed.
  • Co-plan and facilitate a training program for MACS student employees each semester.
  • Meet daily with university administrators, faculty, students, and off campus clients.
  • Acts as a positive University representative when solving problems between university service centers and clients.
  • Serve as the primary point of contact between clients and the University for technical AV needs.
  • On-call one weekday evening a week and an average of one weekend per month for all MACS Events.
  • On call evening and weekends to provide on-site assistance for event planners during events.
  • While on call, must make independent decisions regarding all MACS events. These decisions must be made in a quick, yet well thought-out manner. These decisions may result in expenses for the client, MACS or other University departments.
  • Meet clients at assigned events and provide the best possible service to include assistance with audio visual equipment, tables, chairs, podium, food items, etc.
  • Use available resources and/or communicate needs of clients to Event Coordinators, Sodexo, Custodial Staff, etc.
  • Must provide on-site assistance for larger and high-profile events. This is in addition to the on-call schedule.
  • Report problems and/or issues incurred at assigned events to include incorrect and/or inadequate set-up, failure of equipment, and clients’ concerns.
  • Provide remote assistance & support to AV student workers evenings and weekends by troubleshooting technical issues to ensure successful event outcomes.
  • Schedule & perform maintenance to public address systems at the University to include the Audrey Walton Stadium, Crane Stadium, the Multipurpose Building, Hendricks Hall, the Elliott University Union, the University Chapel and South Rec.
  • Perform maintenance and repairs on MACS portable equipment as needed.
  • Identify technical equipment needs and put forward recommendations to ensure inventory remains relevant, supply avoids shortages, and gear is replaced and properly surplused that could allow event issues to surface.
  • Research and study upcoming relevant equipment that could improve any aspect of event technology.
  • Assist with maintaining and upgrading diagramming software elements to ensure accuracy and functionality of the system.
  • Assist with the yearly audits of the 25Live Database – ensuring locations, permissions, resources are properly documented and MACS Key – conduct yearly audit of MACS key system, these keys access event spaces & classrooms.
  • Perform any other duties as directed by the Manager of Event Technology & Operations and the Director of Meeting and Conference Services.
