About The Position

The CVC Foundation is seeking an enthusiastic and organized Assistant to support the planning and execution of our annual Gala event. Reporting to the Executive Director (ED), this is an excellent opportunity for individuals interested in nonprofit fundraising, event planning, and community engagement. The successful candidate will play a key role in ensuring the success of the Gala while gaining invaluable experience in other relevant CVC Foundation operations in fundraising programs and donor relationships.

Requirements

  • Currently enrolled in or recently graduated from a program in Non-profit Management, Environmental Studies, Business, Event Planning, Marketing, or a related field.
  • No prior professional experience required, but any volunteer experience, especially in administrative roles, fundraising, or event coordination, is an asset.
  • Previous involvement in fundraising, event management, volunteer coordination, or customer service is preferred but not mandatory.
  • A strong interest in building donor relationships, supporting fundraising efforts, and gaining experience in event planning is highly valued.
  • Strong verbal and written communication skills; able to speak clearly and persuasively in all situations, listen actively, and respond effectively to questions.
  • Interest in community-based or not-for-profit organizations and a willingness to learn about the local philanthropic landscape.
  • Energetic and enthusiastic communicator, both in writing and speaking.
  • Ability to manage multiple tasks and responsibilities in a fast-paced environment.
  • A collaborative team player who contributes positively to the organizational culture and works well with others.
  • Comfortable balancing both team and individual responsibilities effectively.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and a willingness to learn new software tools as needed.
  • Strong organizational and time-management skills, with the ability to prioritize tasks efficiently.
  • Ability to work independently and take initiative with minimal supervision.
  • Experience or interest in event execution, including coordination, logistics, and on-site support.
  • A creative problem-solver with strong interpersonal skills, able to build positive working relationships with a variety of stakeholders.

Responsibilities

  • Assist with the planning and coordination of major special events, including the annual Conservation Gala, by supporting the planning committee, tracking event budgets, contributing to event promotion, and coordinating logistics. Serve as the event point person on-site to ensure smooth execution.
  • Help track, and manage donations, silent auction items, gift bag items, general CVC Foundation swag items and event sponsorships, including assisting with the maintenance of inventory, storage, transportation, and presentation of donated items.
  • Support the tracking of ticket sales, maintenance of guest lists, and preparation of registration materials, ensuring all details are accurate and in place for fundraising events.
  • Assist with data entry for RSVPs and silent auction item tracking, ensuring accuracy and timely updates to the guest list and auction details.
  • Contribute to assembling media and donor kits for events, ensuring all materials are prepared and ready for meetings and special events.
  • Help liaise with event sponsors, assist in soliciting sponsorships, and ensure that all sponsorship benefits are activated and fully delivered.
  • Monitor event outcomes and assist in evaluating return on investment (ROI), helping to identify areas for improvement and increase the effectiveness of future events.
  • Assist the CVC Foundation team in maintaining and updating donor records in Donor Perfect, ensuring accurate and timely data entry and reporting.
  • Provide administrative support for gala committee meetings, including agenda preparation, circulating materials, taking meeting minutes, and organizing meeting logistics.
  • Help with coordinating and scheduling meetings, preparing meeting spaces, and ensuring that all required materials are available.
  • Manage office supplies and equipment, ensuring that necessary resources are stocked and in good working condition, and assist with the organization of off-site storage.
  • Perform other administrative duties as relevant to the role.
