About The Position

Experienced Assistant Facility Manager to oversee all building related activities. Works with little to no supervision. Assignments are broad in nature, usually requiring originality and ingenuity. Well-versed in technical/engineering operations and Facilities best practices. Experience in overseeing event set up for employee events and Executive meetings. Has appreciable latitude for un-reviewed action or decision. Will work with Senior Facility Manager in the development and administration of the Property Plan and Budget.

Requirements

  • Minimum 4 years facilities supervisory/management experience, preferably in commercial real estate.
  • Strong management and leadership skills.
  • Effective communication skills.
  • Proficient in MS office, word excel, outlook, PowerPoint .
  • Must display confidence in Client-facing situations.
  • Possesses and applies a broad knowledge of principles, practices, and procedures in a particular field of specialization for the completion of assignments.

Nice To Haves

  • Bachelor of Science preferred
  • Professional certification (e.g. CFM, FMA) is preferred

Responsibilities

  • Oversee facilities and maintenance contracts/vendors and building staff to ensure continuous service to client and building operations.
  • Supervise multi-disciplinary teams of contract staff including janitorial, maintenance, security, food service and mail / office services.
  • Participates in the selection and development of contract services and daily monitoring of vendor performance.
  • Recommends maintenance, mechanical, electrical, and structural modifications as needed.
  • In conjunction with Chief Engineer, perform site inspections of structures to determine the need for repairs, renovations including overseeing general maintenance needs.
  • Prepare, coordinate, and ensure that all fire, life safety and other safety programs are established and followed as required for specific location, coordinating maintenance with fire life safety vendors.
  • Responsible for a positive prompt response to requests from building occupants and for the implementation of ongoing contract programs to constantly assess occupant needs, and to assure problems are being solved promptly.
  • Assist in coordinating and overseeing building /employee events such as large meetings, Senior Leadership meetings, employee awareness events.
  • Assist Project Manager with project management activity such as employee moves, minor construction.
  • Obtain pricing and scope development, for contract work coordinating with Contract Manager.
  • Provide data to assist in the development of monthly operating and financial variance reporting.
  • Prepare annual operating budgets, review, and approve monthly invoices preparing for payment.
  • Perform administrative functions such as input of invoices, tracking vendor certificates of insurance and occupancy reporting.
  • Maintain positive communication with the clients regarding service issues and resolution, verbally or via email.
  • On-call 24/7 to respond to property events, emergencies, or incidents.
  • May perform other duties as assigned.
