Position Summary: The Assistant Executive Director assists the Executive Director in supervision and management of all community operations in line with set policies and procedures. This role works to ensure high quality resident care, operational excellence, financial performance, regulatory compliance, and maintains a high level of resident, family, and team member satisfaction.

Requirements

  • Degree in business, healthcare administration, or related field
  • 2 to 5 years of experience in management and supervision
  • Demonstrated success in operations management, team leadership, and financial oversight.
  • Excellent communication, interpersonal, and problem solving skills in a fast paced environment.
  • Strong knowledge of regulatory requirements for senior living communities.
  • Understanding of various employment and labor laws, including, but not limited to, Family and Medical Leave Act, Minimum Wage, Equal Employment Opportunity (EEO), ADA, Fair Housing and workers compensation.
  • Intermediate or advanced knowledge of or willingness and ability to learn the computer programs used in the company.
  • Travel occasionally for meetings or continuing education.
  • Promote teamwork in providing services to residents.

Responsibilities

  • Provide support in the strategic direction and daily operational oversight of the community.
  • Responsible for high level administrative tasks including financial, payroll, human resources, and resident/team satisfaction.
  • Foster a culture based on company mission, vision, and values.
  • Ensure new regulations or procedures are implemented according to federal, state, and company standards.
  • Oversee the maintenance of financial records, including petty cash, accounts receivable and payables, spend-downs, and other financial documents as requested by Dial and within established parameters.
  • Assist with organization and compilation of reports and data as required, providing all DSL requested reports and documents in a timely and accurate manner.
  • Meet regularly with Executive Director to ensure that Executive Director has up to date and accurate information regarding all property, operational, financial, team member, and resident information.
  • Promptly document concerns brought forth by resident families and team, tracking problem resolution progress.
  • Collaborate and assist ED as requested to manage annual budget, ensuring financial targets are met and strategies are implemented to improve performance.
  • Ensure collection of all rent and services fees by designated date and ensure deposit in bank, as specified by supervisor.
  • Address emergencies as they arise.
  • Assume on-call responsibilities on a rotational basis and assign on-call responsibilities to other employees on a rotational basis to ensure after-hours response to resident emergencies and physical plant programs.
  • Establish and maintain open effective communication with residents, families, team members and DSL home office team.
  • Coordinate all details related to the admission process, move-ins and move-outs.
  • Positively represent the community to the local area by developing professional contacts in the area and maintaining membership in appropriate community organizations.
  • Work in partnership with community Senior Living Advisor to maintain open communication, coordinate tour participation of leadership team, follow up with inquiries and otherwise support sales process as requested by SLA.
  • Travel, as needed, for various required company meetings.
  • Other duties as requested.
  • Establish a good working relationship and an open communication policy with all team members across departments.
  • Oversee recruitment, onboarding/training, retention, and performance management, according to state, federal, and/or company standards.
  • Complete payroll time clock corrections, tracking forms, and other required payroll documentation in a timely and accurate manner.
  • Carry out, consult, and/or make recommendations regarding any disciplinary action and dismissal of team members when necessary.
  • Maintain personnel files and personnel reports, per established guidelines.
  • Promptly report and document reported team member on the job injuries to appropriate vendor.
  • Working with Executive Director, develop, implement, and coordinate team member development and recognition programs in the community.
