About The Position

Twining Consulting, Inc., an innovative engineering, testing, and inspection company, is seeking an Assistant Dispatcher to work in our Fountain Valley office. This position will help support daily field operations by coordinating inspector and technician schedules, managing equipment and sample pickups, maintaining certification records, and providing exceptional service to both internal and external clients. The successful candidate must be comfortable working in a high-volume environment where priorities can shift quickly throughout the day.

Requirements

  • Minimum of 1 year of dispatching, scheduling coordination, logistics coordination, service coordination, or related experience in a high-volume, fast-paced environment.
  • Strong proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams.
  • Experience managing high email and call volumes while maintaining accuracy and responsiveness.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize competing tasks and meet deadlines in a fast-paced work environment.
  • Ability to work independently while effectively collaborating with multiple departments.
  • Professional demeanor when interacting with clients, vendors, field personnel, and coworkers.
  • Strong problem-solving and decision-making skills.
  • Dependable, self-motivated, and adaptable to changing priorities.
  • Ability to learn and effectively utilize company dispatching and scheduling software systems.

  • Ability to occasionally lift and carry office materials or equipment weighing up to 25 pounds.
  • Ability to effectively operate standard office equipment, including computers, printers, scanners, and telephones.

Nice To Haves

  • Previous dispatching experience supporting inspectors, technicians, construction personnel, field service teams, or similar mobile workforces preferred.
  • Experience in engineering, construction, materials testing, inspection, geotechnical, environmental, transportation, or related industries preferred.
  • Experience using scheduling, dispatching, workforce management, or resource planning software preferred.
  • Familiarity with certification tracking and compliance record management preferred.

Responsibilities

  • Dispatch inspectors, technicians, and field personnel based on certifications, qualifications, availability, and project requirements.
  • Coordinate daily scheduling activities and respond to schedule changes, call-offs, and urgent client requests.
  • Monitor and manage a high volume of phone calls, emails, and dispatch requests throughout the day.
  • Coordinate field testing equipment deliveries, pickups, and tracking.
  • Coordinate material sample pickups and transportation logistics.
  • Maintain accurate scheduling records and dispatch information within company software systems.
  • Communicate with project managers, inspectors, technicians, and clients regarding staffing availability and scheduling updates.
  • Answer client inquiries regarding company services, inspector availability, and project scheduling.
  • Assist with recruitment efforts, interview coordination, and onboarding support for new inspectors and technicians.
  • Maintain inspector certifications, licenses, training records, and compliance documentation within company systems.
  • Track and monitor company equipment inventory and utilization.
  • Support coverage planning and resource allocation to ensure project staffing needs are met.
  • Perform additional administrative and operational duties as assigned by management.
