About The Position

The University of California, Los Angeles (UCLA) is seeking an Assistant Director, Travel Operations for its Intercollegiate Athletics (DIA) department. This is a career, full-time position with a targeted annual salary range of $70,000 - $80,000, including full health benefits and membership in the UC Retirement Plan. The role involves providing administrative services under the general supervision of the Assistant Athletics Director, Travel Operations. Key functions include managing travel for Intercollegiate Athletic Teams, developing and researching travel service provider contracts, planning team travel, creating travel itineraries, coordinating travel services, developing travel budgets, managing various travel programs and initiatives, and reconciling travel expenses and invoices. Requirements

  • Knowledge of University, Conference, and NCAA rules, regulations, policies, and services
  • Detailed knowledge of and experience with rules, customs, practices of intercollegiate sports administration
  • Skill in customer relations
  • Ability to deal effectively with university administrators, athletic administrators, coaches, and a wide variety of outside entities
  • Working knowledge of University accounting procedures
  • Ability to arrange and execute schedules in a timely and organized manner
  • Ability to work under time constraints and address all potential concerns
  • Ability to draft clear and concise communications to a variety of parties
  • Knowledge of various computer software packages (both PC and Mac): MS Word, Excel, Access, Pagemaker, Publisher, and graphics programs
  • Working knowledge of University’s Concur travel reimbursement system
  • Working knowledge of the travel industry and components, specifically as it relates to group travel
  • Ability to analyze projects, their related components and issues, as well as determine successive strategies related to those projects
  • Demonstrated ability to adhere to and comply with NCAA, Conference, and University rules and regulations

Responsibilities

  • Provide administrative services for the department of Intercollegiate Athletics (DIA)
  • Manage travel for Intercollegiate Athletic Teams, as assigned by Assistant Athletics Director, Travel Operations
  • Develop travel service provider contracts and research for ongoing agreements from providers
  • Plan team travel

  • Manage various travel programs and initiatives
  • Reconcile travel expenses and invoices
  • Handle other administrative duties and tasks within the section as directed by the Assistant Athletics Director, Travel Operations
