About The Position

The Assistant Director, Systems/Operations leads the day-to-day systems operations and processes in the Office of Scholarships and Financial Assistance. The Assistance Director is responsible for managing and implementing various system and process projects and provides recommendations on enhancements that will streamline financial aid processes. The Assistant Director is expected to maintain a thorough understanding of guidance governing Federal, state, and institutional financial assistance programs. The position requires the Assistant Director to work in a team environment to coordinate efforts in administering aid and educating/training other staff regarding office processes and operations.

Requirements

  • Bachelor's Degree
  • Two years related experience
  • Excellent organizational and analytical skills
  • Strong interpersonal, communication, and writing skills
  • Demonstrated working knowledge using data management software applications and database systems
  • Detail oriented, self-motivated, and able to manage multiple projects simultaneously
  • In depth knowledge of Ellucian Banner, Workday, or similar ERP system
  • In depth knowledge of Automic/Appwork/UC4 scheduling software or similar software
  • Experience working with any/all of the following financial aid systems: COD, CPS, SAIG, NSLDS, ELM, EdConnect, and TDClient

Responsibilities

  • Leading the day-to-day systems operations and processes within the Office Scholarship and Financial Assistance, including multiple electronic data loads and data exchanges with the US Department of Education.
  • Financial aid system upgrades, including testing and implementation, in coordination with the Information Technology (IT) department.
  • Coordinate new aid year set up.
  • Provide subject matter expertise for the Ellucian Banner and Workday ERP systems, to research, identify, and propose process improvements for Office Scholarship and Financial Assistance.
  • Stay current on modifications to Banner and Workday through e-communities and seamlessly integrate new releases and patches with current system functionality to maintain compliance.
  • Collaborate with the IT department in the use of the Automic/Appworx/UC4 job scheduler and automation software.
  • Maintain a thorough understanding of guidance governing Federal, state, and institutional financial assistance programs.
  • Serve as liaison for IT staff and other University departments in resolving system related issues.
  • Utilize available resources to provide information in group and one-on-one settings.
  • Coordinate efforts in administering aid and educating/training other staff regarding office processes and operations.
  • Exercise professional judgement when appropriate, if Federal, state, or institutional guidelines do not seem to adequately address a particular situation.
  • Perform other duties as assigned and manage other special projects as assigned.
