About The Position

Applicants seeking short-term or part-time work with the University Hawai'i may apply for Casual Hire positions, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits as provided to regular BOR and Civil Service employees such as paid leave and holidays. Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees. This position is a temporary casual hire position and offers no benefits, not to exceed 40 hours/week and 89 day appointment. Hours may vary.

Requirements

  • Possession of a baccalaureate degree in arts and science, business administration, education or related field.
  • Some experience with responsibilities for professional administrative support for a Division I basketball program; or collegiate playing experience or equivalent education/training or experience.
  • Demonstrated ability to take the initiative to independently complete task assignments.
  • Demonstrated ability to operate a personal computer in the use of common office software, e.g. word processing, database, and spreadsheet, and email and internal communications systems.
  • Demonstrated ability to exercise discretion and sound analyses to a variety of administrative support, program management or related issues.
  • Ability to handle confidential information with a high level of tact, discretion, and diplomacy.
  • Excellent organizational and time management skills.
  • Ability to work effectively and independently under pressure, with frequent interruptions, and remain flexible in handling several concurrent projects with competing deadlines.
  • Ability to work a flexible schedule.
  • Work hours include day, night, weekend and /or holiday hours due to programmatic needs.
  • Ability to provide excellent customer service.
  • Genuine interest and passion for intercollegiate athletics.

Responsibilities

  • Assist with planning, coordinating and executing all aspects of team travel for regular-season games, conference play, exhibitions, tournaments, and postseason competition.
  • Arrange transportation including team flights (charter and commercial), ground transportation, charter buses, and airport transfers.
  • Book and manage team hotel accommodations, ensuring appropriate room blocks, meeting space, and rates are secured for staff and student-athletes.
  • Coordinate team meals on the road, including pre-game meals, post-game meals, and dietary accommodations in partnership with sports nutrition staff.
  • Assist with creating detailed travel itineraries and distributing to coaches, student-athletes, and support staff in advance of each trip.
  • Serve as the primary on-the-road logistics contact, troubleshooting travel issues such as delays, cancellations, lost luggage, and rooming changes.
  • Assist with the coordination of travel logistics for non-conference opponents visiting campus, including hotel, transportation, meals, and arena access.
  • Assist with the management of team travel for preseason workouts, exhibition tours, and any approved foreign tour, including passport and visa coordination when applicable.

  • Assist with logistics for official and unofficial recruiting visits, including flights, hotel, ground transportation, meals, campus tours, and itineraries.
  • Serve as the primary administrative point of contact for prospective student-athletes and their families during the visit planning process.
  • Prepare recruiting materials, visit packets, and personalized welcome items in collaboration with the coaching staff and Marketing/Creative teams.
  • Responsible for collaborating with visiting basketball teams to coordinate scheduling of practice times and assisting the visiting teams with game day needs such as pre-game meals.
  • Promote and maintain an environment where the physical, mental, social and academic well-being of all student-athletes are a priority.
  • Maintains confidentiality to include but not limited to information, files and records that the incumbent may obtain or possess, in accordance with federal and state laws and University of Hawaii policies.
  • Maintain collaborative working relationships with administrators and coaches in the department, other college offices, and appropriate relationships with members of the media, donors, and other individuals interested in the sports program.
  • Know, recognize and comply with the laws, policies, rules and regulations governing the University of Hawai‘i and its employees, and the rules of the NCAA and affiliated conferences as now constituted or as may be amended in the future.
  • Immediately advises the Director of Athletics or designee if there is reasonable cause to believe violations, whether by employees, students, or others, have occurred or will occur.
  • Any additional responsibilities assigned by the head coach which may include collaboration with boosters, securing team meals and helping with logistics of fundraising.
