About The Position

Piedmont Virginia Community College (PVCC) is seeking an Assistant Director of Financial Services to join their Business Office. This full-time, classified, exempt position reports to the Director of Financial Services and is responsible for financial reporting and analysis for major College funds (Education & General, Workforce Development) and supports financial accounting for the Piedmont Virginia Community College Educational Foundation. The role involves working with multiple systems, including Peoplesoft Accounting Financial module of AIS/General ledger, Financial Edge, Cardinal system for payroll data, and the Student Information System (SIS). The Assistant Director will develop processes and procedures to improve workflows and customer service while ensuring compliance with state directives and standards.

Requirements

  • Bachelor's degree in Accounting, Finance, or a related field.
  • Experience with accounting systems, preferably Peoplesoft.
  • Proficiency in Microsoft Suite applications, particularly Excel, PowerBI, and PowerPoint.
  • Knowledge of financial reporting and analysis.
  • Understanding of accounting principles and practices.
  • Experience with grant and contract accounting.
  • Experience with reconciliation processes.
  • Ability to develop and implement financial policies and procedures.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.

Nice To Haves

  • Experience with Blackbaud software (Raiser's Edge, Financial Edge).
  • Experience in higher education finance.
  • Experience with Virginia's state financial directives (ARMICS, CAPP manual).

Responsibilities

  • Provides support to the Piedmont Virginia Community College Educational Foundation by maintaining and managing financial accounting for the Foundation, including accounting for grants and contracts.
  • Works closely with the Vice President of Institutional Advancement & Development and other Institutional Advancement staff to develop financial reports for monitoring Foundation funds and ensuring cash flow needs are met.
  • Performs monthly reconciliations between Raisers Edge and Financial Edge modules within Blackbaud.
  • Provides required information and responds to questions from the Educational Foundation’s Audit firm.
  • Works with the Director of Financial Services to prepare financial reports for all College funds, including quarterly budget to actuals of the Education and General Fund and monthly reports for Workforce Development.
  • Defines, creates, and makes information available via queries or reports within AIS.
  • Employs advanced functionality of Microsoft Suite applications (Excel, PowerBI, PowerPoint) to present financial data.
  • Develops control systems to assure policies and procedures for all accounting systems are implemented, documented, and accurate.
  • Participates in testing activities when AIS business processes are changed or updated.
  • Identifies alternatives and proposes changes that improve quality and efficiency.
  • Prepares year-end accounting schedules for the college’s financial statement submission to the VCCS.
  • Assists the Director of Financial Services with other financial schedules as needed.
  • Ensures expenditures are coded properly for financial reporting accuracy.
  • Serves as back-up to the Director of Financial Services as necessary.
  • Participates with the Shared Services Center process for Procure-to-pay and Travel expenses.
  • Provide instruction, guidance, and training to all staff.
  • Develop and implements internal policies and procedures.
  • Reviews and approves all purchasing transactions.
  • Monitors budgets and expenditures.
  • Provides all necessary financial data and reports.
  • Assists with budget preparation for state and local funds.
  • Prepares monthly and quarterly reports.
  • Serves as liaison with auditors.
