About The Position

The Assistant Director of Development Services is responsible for originating and executing software applications for the Development and Alumni Engagement Division. This position is responsible for creating accurate, segmented lists to be used in communicating with constituents via various communication channels. Also assists with creation and maintenance of customized report templates. This position calls for confidentiality and strong attention to detail. Knowledge of day-to-day operation of the Development Office’s gift entry process, as well as assisting staff in other data entry, manipulation, and retrieval functions is necessary.

Requirements

  • Bachelor's degree (B. A.) from four-year college or university required.
  • Three years of related experience/training.
  • Intermediate: Ability to read and interpret documents.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Knowledge of or ability to learn Millennium data structures and proprietary web based systems used in DePauw Development and Alumni Engagement Division and Microsoft Office Professional are required.
  • Familiarity with various data formats and ability to transfer data between text files, database format, and mail / word processing merge applications is essential.
  • MS Office Applications and Google Applications.
  • Strong organizational skills and ability to work under time constraints required.

Nice To Haves

  • Prior supervisory experience is preferred.

Responsibilities

  • Create report criteria for list requests
  • Plan and coordinate Direct Mail requests for Development and Alumni Engagement to different groups of alumni, also mailings for School of Music and Communications Department as requested. Organizing/cleaning the confidential mail files for processing through Millennium and sending lists to mail center or off-campus vendors for processing.
  • Serve as a liaison with the Mail Center and other campus partners to ensure timely execution of mailings.
  • Responsible for processing and sending gift receipts to donors.
  • Backs up gift entry
  • Problem solving as various issues come up, such as finding lost alumni, researching and fixing bad addresses etc, database issues.
  • Assists with user training needs.
  • Responsible for maintaining constituent data accuracy with specific procedures for deceasing, board membership, honorary doctorates, Presidential Ambassadors and other constituent specific attributes
  • Assist in processing documents in support of Stewardship cyclical operations. Process merges, printing and assembling of birthday cards, endowment reports, scholarship letters, open commitment reminders, matching gift, first-time donor letters and Holiday cards. Also work with Mail Center to streamline current processes
