About The Position

In coordination with the Director of Alumni Relations, the Assistant Director plans and oversees the Corps engagement and events through effective communication methods, strategic volunteer management, and data/records management. Reports to the Director of Alumni Relations and works closely with the Chief Advancement Officer. This position will work collaboratively with the members of Corps and University Advancement to pursue and promote institutional objectives related to alumni engagement, communications, and fundraising.

Requirements

  • Bachelor’s degree required; equivalent relevant experience will be considered.
  • Extensive professional experience in planning and executing special events.
  • Documented history of success in selecting event dates, managing calendars, coordinating with caterers, venues, and vendors, and collaborating with various stakeholders to ensure seamless event execution.
  • Proven ability to develop and implement strategies that foster meaningful engagement with diverse stakeholders.
  • Strong ability to interact effectively with a wide range of constituencies, including vendors and external partners.
  • Excellent communication skills, with a proven ability to articulate ideas clearly in both written documents and verbal presentations.
  • Demonstrated ability to manage multiple priorities independently while maintaining strong attention to detail in a fast-paced, deadline-driven environment.
  • Experience managing event budgets and ensuring cost-effective planning and execution.
  • Proficient in managing guest lists, invitations, RSVPs, and event materials such as nametags, scripts, bios, and day-of-event supplies.
  • Ability to conduct event closeouts, including compiling final reports, analyzing feedback, and maintaining inventory of supplies and promotional items.
  • Experience using a variety of software tools, including the Microsoft Office Suite.

Nice To Haves

  • Familiarity with alumni relations operations and volunteer program coordination, particularly within a university or nonprofit setting.
  • Knowledge of best practices for engaging young alumni and current students through targeted programming and communications.
  • Working knowledge of fundraising and/or event planning systems such as Blackbaud (AIMS), Doodle, and/or Google Workspace.
  • Demonstrated experience in planning and executing special events in support of university advancement or similar initiatives.
  • Proven ability to build relationships and collaborate effectively with diverse stakeholders in higher education.
