About The Position

Performs a variety of high level and administrative duties related to Legal Specialization and Education (LSE) departmental programs: CLER, BSCR, Course Accreditation and Board Certification. Manages workflow and supervises in the Certification Specialists day-to-day departmental operations. Additionally responsible for the development and management of statistical information.

Requirements

  • Bachelor's Degree (proof of degree required at interview).

Responsibilities

  • Supervising personnel and the overall daily operations of the Board Certification program and assists LSE Director with oversight of CLER; BSCR; CLE Accreditation process in accordance with Rule 6-10 and 6-12 of the Rules Regulating The Florida Bar.
  • Conducts ongoing needs assessment of the department; workload management.
  • Communicates with Bar members, LSE staff and other departments in problem solving.
  • Directs, develops and recommends personnel actions for certification staff including hiring, training, and appraisals; prioritizes and coordinates efficient workflow; oversight of certification training ; staff productivity and reference backup.
  • Respond to inquiries, both orally and in writing, from Bar members, seminar sponsors and the public regarding certification.
  • Draft detailed correspondence in reference to the Rules Regulating The Florida Bar and Board of Legal Specialization and Education (BLSE) Standing Policies.
  • Oversees financial transactions, vouchers, expense reports, and pre-travel authorizations.
  • Provides guidance and direct supervision of the certification staff participating in the operations of confidential review and evaluation of certification applicants; application processing: testing/grading of examinations; peer review assessment; correspondence; implementation of new certification areas; promotional activities; committee service satisfaction; general guidance and interpretation regarding the rules and policies governing the departmental programs.
  • Oversight of the administration for the board certification examinations which includes developing and coordinating procedures; testing schedules; securing exam sites; on-site administration; fiscal responsibility for exam administration; ADA compliance for exams; remote laptop testing and software procedures and ExamSoft contracts; oversees development and production of exams; may travel to the March and May exams; proctors the board certification exams; oversees post-exam details including grading and exam reviews; provides and interprets rules and policies for exam challenges; oversees post- exam surveys; maintains strict confidentiality of the examination process.
  • Ensures exams utilize proper formats and comply with Exam Drafting Handbook; oversees production and assembly of exam materials.
  • Coordinate the administrative aspects of the laptop examinations: prepare and monitor registration information and setup; draft written and verbal instructions for laptop examinees; proctor the laptop exam rooms; provide technical support; coordinate setup and shutdown procedures; verify upload of answer files; print and disseminate answer files; coordinate training of staff proctoring laptop exams.
  • Oversees the management of statistical information and databases for the board certification program; verify completion and accuracy of charts, graphs, tables, logs and databases; maintain departmental H:\ (shared) drive; coordinate production of the department's procedures manual; perform liaison duties to the IT department; prepare vouchers, P.O.s, fund transfers, and expense reports; assist with budget planning and administration.
  • Prepare and maintain annual certification calendar; disseminate deadlines and reminders to certification specialists; draft and update forms, letters and memorandums for departmental use; maintain templates for certification logs; assist with planning and leading certification staff meetings; assist in the training of new specialists; conduct preliminary reviews of correspondence and reports prior to submission to the LSE Director and/or LSE; monitor certification inbox and disseminate information accordingly.
  • Assist with special projects, including certification communications plan, staff procedures database; website development, review of related state bar activities and procedures, and other duties as assigned.
  • Prepare and disseminate annual certification fee invoices; monitor intake of fees; prepare and disseminate late fees and final notices; coordinate special fee waiver requests to the Executive Director; provide revocation information to the BLSE; oversees certification lapse process.
