About The Position

Full-time position under the Management Personnel Plan (MPP) available on or after August 3, 2026 in Alumni Relations. This position is responsible for administering and implementing alumni engagement programs and operations that support University Advancement goals and priorities. Responsibilities include oversight of alumni events, volunteer and advisory group engagement, affinity and regional programs, constituent communications, and related engagement initiatives. The position collaborates with campus and Advancement partners to strengthen alumni connections, expand engagement opportunities, evaluate program effectiveness, and provide supervision to assigned staff, student employees, and volunteers.

Requirements

  • Three (3) years progressively responsible related professional experience, including (1) year of direct supervisory experience.
  • Equivalent to a bachelor’s degree in a related field, (Additional progressively responsible experience directly related to the duties of the position may be substituted for the required education on a year-for-year basis.)
  • Knowledge of the principles, practices, and procedures of the assigned functional area.
  • Knowledge of applicable university, CSU, state, and federal policies and regulations.
  • Knowledge of collective bargaining agreements as applicable to assigned staff.
  • Ability to interpret and apply policies, procedures, and guidelines.
  • Ability to organize, prioritize, and manage multiple operational tasks.
  • Ability to supervise, train, and evaluate staff and/or student assistants.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to analyze routine operational issues and implement appropriate solutions.
  • Skill in written and verbal communication.
  • Skill in the use of standard office technology and enterprise systems relevant to the functional area.

Nice To Haves

  • Bachelor's or master’s degree in communications, marketing, public administration, business administration, higher education, or a related field.
  • Five years progressively responsible professional related experience.
  • Three to five years of progressively responsible experience in alumni relations, advancement, or higher education engagement programs.
  • Experience working in a CSU or higher education environment.
  • Strong written communication skills, with experience developing strategic communications such as newsletters, email campaigns, or digital content.
  • Demonstrated experience planning and executing complex programs or events, including logistics, vendor coordination, and stakeholder engagement.
  • Experience working with volunteer leadership groups such as alumni boards, advisory councils, or affinity networks.
  • Experience using CRM systems to manage constituent engagement, track outcomes, and generate reports for decision-making.
  • Demonstrated ability to collaborate across divisions and contribute to programmatic or operational improvements within a complex organization.

Responsibilities

  • Serve as liaison between Alumni Relations and campus partners, including University Advancement, academic colleges, administrative units, alumni, volunteers, and community stakeholders to support alumni engagement initiatives and institutional priorities.
  • Coordinate and implement alumni communications in partnership with Strategic Communications and Marketing utilizing a variety of communication channels to increase awareness, participation, and engagement.
  • Ensure alumni communications and outreach efforts align with University brand standards, strategic priorities, and Advancement objectives.
  • Represent Alumni Relations at campus and community events, committees, working groups, and constituent engagement activities to strengthen alumni relationships and support University priorities.
  • Respond to alumni and stakeholder inquiries and facilitate access to University programs, services, resources, and engagement opportunities.
  • Collaborate with Advancement and campus stakeholders to promote alumni engagement opportunities, volunteer participation, affinity programs, regional engagement activities, and special initiatives.
  • Develop and maintain effective working relationships with alumni, volunteers, advisory groups, affinity networks, and community partners to strengthen alumni connections and support engagement goals.
  • Oversee day-to-day operations of assigned alumni engagement programs and initiatives to ensure effective service delivery and achievement of program objectives.
  • Coordinate operational planning and support for alumni events, volunteer activities, affinity programs, regional engagement initiatives, and constituent engagement efforts, including scheduling, logistics, vendor coordination, and contract administration.
  • In collaboration with the Senior Director, plan, implement, and evaluate alumni events and engagement activities that increase participation, giving, and connection among alumni, students, and community members.
  • Monitor workflow, service standards, and operational performance and implement improvements that enhance efficiency and effectiveness.
  • Monitor assigned budgets, expenditures, contracts, and resource utilization to ensure fiscal accountability and compliance with University policies and procedures.
  • Oversee the accuracy, integrity, maintenance, and reporting of alumni engagement, event participation, volunteer activity, and constituent data maintained within CRM systems.
  • Prepare reports, analyses, summaries, and supporting documentation related to alumni engagement activities, program outcomes, operational planning, and leadership updates.
  • Recommend and implement process improvements that enhance operational effectiveness, customer service, and constituent engagement outcomes.
  • Implement and interpret CSU, campus, state, and federal policies, procedures, and regulations applicable to Alumni Relations programs and operations.
  • Ensure compliance with applicable regulations, collective bargaining agreements, University policies, and departmental procedures.
  • Participate in planning, goal setting, assessment, and continuous improvement efforts for alumni engagement programs, events, volunteer initiatives, affinity programs, and regional engagement activities.
  • Support long-range planning and evaluation efforts for alumni engagement programs by identifying opportunities to expand participation, strengthen constituent relationships, and enhance program effectiveness.
  • Track and analyze engagement metrics, participation trends, constituent feedback, and program outcomes to inform planning, decision-making, and continuous improvement efforts.
  • Identify programmatic and operational inefficiencies and recommend solutions that improve alumni participation, service delivery, and overall program effectiveness.
  • Develop, implement, and maintain standard operating procedures, guidelines, and best practices for alumni engagement programs, volunteer activities, events, and related operations.
  • Collaborate with Advancement leadership and campus partners to identify emerging opportunities and support implementation of approved alumni engagement strategies and initiatives.
  • Supervise assigned staff, student employees, and volunteers supporting Alumni Relations programs and operations.
  • Assign, prioritize, and monitor work activities to ensure achievement of departmental goals, operational priorities, and service expectations.
  • Provide coaching, guidance, training, and professional development opportunities to support employee performance and growth.
  • Conduct performance evaluations in accordance with CSU and campus policies and procedures.
  • Participate in recruitment, hiring, onboarding, training, and evaluation of staff and student employees in accordance with University policies and collective bargaining agreements.
  • Apply collective bargaining agreements, personnel policies, and established procedures in the administration of personnel matters.
  • Support corrective and disciplinary processes in consultation with Human Resources.
  • Foster a positive, inclusive, and collaborative work environment that promotes employee engagement, accountability, customer service, and professional development.
