About The Position

This role involves interfacing with division heads for event and non-event related tasks, overseeing Facility Services including event setup/striking and custodial-environmental operations. It also requires working with the Facility Services Management team on building projects and acting as a liaison with other internal divisions for event-related activities and resource management. The position involves assisting in the development of specifications, bid documents, and contract administration, as well as managing relationships with contractors, service companies, and suppliers. Generating management reports, assisting with budget development and cost controls, and conducting facility inspections for safety and maintenance are key responsibilities. A thorough understanding of standard contract documents, building codes, occupational safety standards, and industry guidelines is essential. The role also contributes to creating departmental policies and procedures and developing sustainability practices. Additionally, it includes supervisory responsibilities such as personnel selection, orientation, training, performance monitoring, and administering company policies.

Responsibilities

  • Interface with division heads in the planning and execution of event and non-event related tasks.
  • Oversee Facility Services (set-up/striking of events).
  • Oversee Facility custodial-environmental operations.
  • Work with the Facility Services Management team in the coordination of Facility Services building projects.
  • Act as the Event Operations Division liaison with other internal divisions in matters relating to event-related activities and the effective management of resources.
  • Ensure that relevant information is communicated to team to ensure proper event execution.
  • Assist with the development of specifications and bid documents for all areas of responsibility in accordance with guidelines established by the MCCNO.
  • Assist with the administration of all contracts assigned to areas of responsibility.
  • Interface with contractors, service companies and suppliers in the administration of contracts and purchase agreements.
  • Generate management reports on current event activities and future business/projects to ensure that all parties are informed of the latest information.
  • Assist in the development of the annual budget relating to potential event-related revenues/expenses.
  • Create and assist in managing related cost controls to ensure the efficient and effective operations.
  • Conduct regular inspections of the facility and report any safety hazards, needed repairs and suggested improvements to the Director of Facility Operations.
  • Demonstrate a thorough knowledge of standard contract documents, building codes, occupational safety standards and industry guidelines relative to the work performed by facility personnel and ensure that the work is in compliance with such standards and regulations.
  • Assist in the creation of departmental policies and procedures that govern the operation of the loading docks and show floor by MCCNO and show contractors.
  • Assist in the development of sustainability practices and standard operating procedures for internal & external client use.
  • Participate in decisions related to the selection, promotion, transfer, pay, and discipline of assigned personnel.
  • Orient employees to MCCNO policies and procedures; clearly communicate job duties and responsibilities so individuals may proceed with certainty in the performance of their positions.
  • Personally conduct or oversee training for new employees to ensure established procedures are clearly understood and followed.
  • Monitor the work performance of assigned personnel on a continuous basis, conduct effective performance appraisals, and take corrective action whenever necessary.
  • Create a working climate in which assigned personnel are motivated to develop their skills and abilities and demonstrate by personal example the desired standards of conduct and work performance.
  • Administer MCCNO policies in a fair and equitable manner with regard to discipline, tardiness, absenteeism or insubordination and fully document all incidents and actions taken.
