Management and Implementation of College Admissions Procedures Provides leadership and oversight for the day-to-day administration and implementation of admissions processes for applicants to the Doctor in Veterinary Medicine (DVM) and the combined DVM/MPH programs, ensuring compliance with college, university, state, and federal policies. Oversees the acceptance and onboarding processes of incoming DVM, transfer DVM, and returning students through the “My Admissions” program, ensuring accurate and timely completion of required processes. Supervises and provides direction to the Admissions Officer, establishing priorities, monitoring workflow, and ensuring effective and consistent execution of admissions responsibilities. Serves as the primary college administrator for WebAdmit, the AAVMC admissions platform used by the University of Florida College of Veterinary Medicine (UF CVM), and serves as the primary liaison to the AAVMC. Supports the training and ongoing development of Admissions Committee members in admissions best practices, WebAdmit functionality, and related technologies. Provides timely and accurate guidance to prospective students, applicants, and the general public regarding admissions policies, procedures, prerequisite requirements, and application processes through email, telephone, and in-person communication. Advises pre-veterinary students regarding prerequisite coursework and admissions requirements, including interpretation of college and university policies. Reviews academic transcripts and evaluates prerequisite coursework for compliance with established admissions requirements; consults with the Assistant Dean on complex or non-standard coursework and eligibility determinations. Oversees applicant interview scheduling and coordinates the final admission notification process, ensuring accurate, timely, and confidential communication with applicants. Oversees the maintenance and integrity of confidential applicant and veterinary student records in accordance with university policies and applicable privacy requirements. Coordinates applicant interviews, including scheduling and communication with Admissions Committee members and applicants. Serves as the primary point of contact for students transferring from other veterinary colleges, coordinating transfer inquiries, the application process, and communication with relevant college personnel. Ensures admissions-related content on the college website and other applicant-facing resources is accurate, current, and aligned with approved admissions policies and procedures. Collaborates with the Assistant Dean to evaluate and implement new admissions technologies, tools, and processes designed to improve efficiency, applicant experience, data integrity, and workflow. Identifies opportunities to improve admissions operations and recommends process, policy, and technology enhancements to the Assistant Dean. Creates and prepares annual reports, statistical summaries, and other analyses documenting admissions activities, outcomes, and trends to support assessment and strategic planning Assignment and maintenance of DVM student advisors Coordinates the assignment of incoming DVM students to faculty advisors in collaboration with the Admissions Officer and ensures accurate advisor assignments are reflected in the Curriculum Map. Coordinates communications to faculty mentors and student mentees regarding mentor/mentee expectations, resources, and available support each semester. Creates and implements a process with the Admissions Officer to update faculty advisor assignments as needed throughout the academic year. Maintains a current roster of UF CVM faculty currently mentoring and/or available to mentor students by working with departmental administrative staff. Commencement Assists the Associate Dean and the Administrative Specialist II with the planning, coordination, and execution of the annual DVM commencement program, including student information, communications, and logistical activities. DVM Student Orientation Provides leadership and oversight for the planning and implementation of summer online orientation and the first day of orientation for the incoming class of veterinary students. Assists the Admission Officer with planning and executing Club Day and related activities introducing incoming students to college organizations and opportunities. Student Information and Program Support Oversees the accuracy, integrity and maintenance of DVM student information housed within the student database and related systems. Update name changes on Curriculum Map and communicate changes with ASA staff. Manages new and current distribution lists for all DVM students. Point of contact for students interested in the DVM/MPH program
