About The Position

The Assistant Digital Asset Coordinator is part of a small but critical team supporting the high-speed, high-volume Free People e-commerce image and video workflow. This role helps manage the movement, accuracy, organization, and delivery of product imagery from capture through post-production, final asset management, and downstream use. This position reports to the Digital Asset Manager and sits within the Digital Asset Management/File Management function, while also serving as a daily workflow liaison to Studio teams through ShotFlow and, as the business transitions systems, Creative Force. The ideal candidate is highly organized, detail-oriented, collaborative, and comfortable working in a fast-paced studio environment where priorities shift quickly. They will support digital asset accuracy, metadata, file naming, retouching handoffs, reshoot coordination, asset relocation requests, and image delivery across Free People e-commerce and cross-functional partners. As Free People transitions from ShotFlow/Evolphin/Scene7 workflows to Creative Force and AEM, this role will also help document, learn, adopt, and improve new ways of working.

Requirements

  • 1–3 years of experience in digital asset management, photo studio operations, e-commerce production, post-production, retouching coordination, creative operations, or a related field preferred.
  • Working understanding of digital imaging, including file formats, color spaces, compression, sizing, web standards, and basic print preparation.
  • Proficiency with macOS and Adobe Photoshop; Adobe Bridge, Lightroom, Capture One, or similar asset/capture tools a plus.
  • Strong spreadsheet and organizational skills; proficiency with Microsoft Excel or similar tools.
  • Familiarity with DAM, workflow, or project management platforms such as AEM, Creative Force, ShotFlow, Evolphin, Scene7, Globaledit, Asana, or similar systems preferred.
  • Basic knowledge of photo retouching and ability to identify image/file inconsistencies.
  • Excellent attention to detail, accuracy, follow-through, and time-management skills.
  • Ability to multitask, shift priorities, and stay organized in a fast-paced, high-volume studio environment.
  • Strong written and verbal communication skills with the ability to collaborate across Studio, Retouching, Merchandising, Marketing, Buying, Web Production, and Tech partners.
  • Curious, adaptable, and comfortable learning new systems during periods of process change.

Responsibilities

  • Coordinate daily e-commerce product activation workflow with Studio personnel using ShotFlow and, eventually, Creative Force.
  • Monitor jobs, shots, sample/product status, and workflow queues to help ensure work moves smoothly from studio capture to post-production and final delivery.
  • Create, update, and validate shot records, shot requirements, and product information as needed to support accurate capture and handoffs.
  • Partner with Studio Producers, Photographers/Digi Techs, Art Directors, Stylists/Studio teams, Retouching, and File Management to resolve workflow questions, blockers, missing information, and priority changes.
  • Help maintain clear system-of-record behaviors during the transition to Creative Force, escalating inconsistencies or process gaps to the Digital Asset Manager and Studio leadership.
  • Assist the Digital Asset Manager and DAC team with daily e-commerce image and video flow from Photo Studio to Web Production through URBN/FP digital asset systems.
  • Ensure accuracy and consistency of image labeling, file naming, product metadata, asset relationships, and final asset organization.
  • Support archive management for e-commerce imagery, including maintaining accurate file structures, workspaces, metadata, and asset indexability in current and future DAM systems.
  • Support AEM readiness/adoption by helping maintain metadata, file structure, asset organization, and searchability as workflows transition away from Scene7.
  • Process image swaps, moves, reclasses, and relocation requests from Buying, Merchandising, Marketing, and other business partners while maintaining clear tracking and communication.
  • Resize, prepare, upload, and deliver images for e-commerce, internal partner needs, external partners, and occasional print or special project requests.
  • Assist with light project management of post-production jobs/tasks, including intake, prioritization, tracking, and handoffs.
  • Prioritize incoming imagery and post-production work based on product status, in-stock needs, launch timing, deadlines, and business urgency.
  • Evaluate completed retouching for inconsistencies, missing assets, file issues, or quality concerns; escalate issues for correction when needed.
  • Help clarify retouching intake, revision tracking, approvals, and final delivery processes as workflows move into Creative Force.
  • Support coordination of externally shot or third-party product photography through studio capture/asset intake workflows.
  • Support cross-functional reshoot workflow by helping ensure required shots are created/identified before samples move to set.
  • Partner with File Management and Studio teams to increase awareness of reshoot needs, reduce unnecessary reshoots, and improve communication before work reaches set.
  • Help maintain a clear tracker/directory for image relocation, swap, and move requests so Buying, Merchandising, File Management, and Studio partners have better visibility.
  • Identify repeat issues, gaps, or communication breakdowns in reshoot and asset movement workflows and share recommendations with the Digital Asset Manager.
  • Build strong working knowledge of Creative Force, AEM, ShotFlow, and other relevant product activation/DAM tools.
  • Support the transition from ShotFlow to Creative Force by learning new workflows, following SOPs, documenting process changes, and helping communicate updates to impacted users.
  • Assist in documenting workflows, ownership, handoffs, naming conventions, metadata practices, and support procedures for Studio, DAC/File Management, Retouching, and partner teams.
  • Proactively identify opportunities to improve workflow clarity, reduce manual work, minimize errors, and support speed-to-site.
  • Participate in a collaborative, solutions-oriented environment by communicating clearly, asking thoughtful questions, and sharing workflow insights with the team.
