About The Position

We’re hiring an Assistant Controller to own our books end-to-end. You’ll run the monthly close in QuickBooks Online, keep revenue tied out to Stripe, reconcile across our U.S. and international entities, and produce the financials our leadership team, board, and investors rely on. You’ll work directly with our CEO and Chief of Staff and with our outside CPA firm. This is a hands-on role. Our books have grown faster than the process around them, and your job is to make them clean, current, and defensible — first by untangling what’s there, then by building the controls and routines that keep it that way. You’ll be the person who can look at a balance that doesn’t make sense, trace it back through the bank feed, the Stripe sync, and the journal entries, and fix both the entry and the reason it happened. This is a great fit for someone who has owned a close before and wants real, unsupervised ownership of a growing company’s finances — without the layers of a large corporate accounting department.

Requirements

  • 4+ years of accounting experience, including at least a year owning a monthly close end to end without a review layer above you
  • Deep QuickBooks Online proficiency — chart of accounts, classes, bank rules, journal entries, and the bank feed — to the point where you can diagnose why a balance is wrong, not just that it is
  • Solid accrual accounting fundamentals: revenue recognition, deferred revenue, accrued liabilities, and the difference between cash-basis books and accrual-basis reporting
  • Comfortable reconciling many bank, credit card, and payment-processor accounts and running discrepancies to ground
  • Proactive about flagging things that look off, and comfortable working independently on a small, hybrid team — you’ll often be the only accountant in the room
  • Strong Excel or Google Sheets skills
  • High attention to detail and follow-through — this role is judged on accuracy

Nice To Haves

  • Experience with a subscription/SaaS or services-based revenue model
  • Experience reconciling Stripe or a similar payment platform, ideally with a sync tool like Synder
  • Multi-entity or multi-currency experience; exposure to Xero
  • Time at a CPA firm or under a Controller
  • Familiarity with financial reporting tools like Fathom or similar
  • Prior exposure to 401(k)/HSA benefits administration
  • Bachelor’s degree in accounting or finance, or CPA track — not required if your experience shows you can do the job

Responsibilities

  • Own the monthly close in QuickBooks Online — bank and credit card reconciliations through a finalized balance sheet and P&L — within the first 10 business days of the following month
  • Own QuickBooks bank rules and bank-feed hygiene: audit existing rules, fix ones that mispost or split transactions, and keep new activity landing in the right accounts and classes
  • Maintain a clean chart of accounts — catch and correct duplicate accounts, mis-postings, and misclassified liabilities
  • Maintain department/class-based revenue and expense allocations across business lines and entities, including monthly allocation entries
  • Maintain accrual-basis financials alongside QuickBooks, including deferred revenue, prepaids, and accrued liabilities, so management reporting reconciles to the books
  • Record and document complex or one-off transactions — capital contributions, intercompany loans, financing notes, and acquisition-related entries — and tie debt and equity balances out to the underlying agreements and cap table
  • Clean up and reclassify historical balance sheet detail, working with our outside CPA on prior-year adjustments and tax preparation support
  • Manage vendor records in QuickBooks (setup, de-duplication, classification)
  • Reconcile Stripe revenue (synced via Synder) to QuickBooks each month across multiple Stripe accounts, including failed payments, refunds, credit memos, and payout timing, and keep suspense and undeposited-funds accounts cycling to zero
  • Reconcile intercompany activity between TOMIS (QuickBooks) and Yonder (Xero), including charges that land in the wrong entity, and maintain the intercompany loan balance
  • Support multi-currency activity across our U.S., Australian, and New Zealand books
  • Investigate and correct general ledger posting errors surfaced during internal review, and put fixes in place so the same error doesn’t recur
  • Reconcile 401(k) contributions (employee, employer, and Roth) against payroll each pay period and support the annual retirement plan audit
  • Reconcile HSA and health/dental contributions; catch and correct benefit invoices that overstate expense
  • Reconcile payroll tax liability accounts against what’s actually been filed
  • Run payroll each pay period in partnership with the Chief of Staff
  • Prepare monthly P&L, balance sheet, cash reporting, and AR/AP aging
  • Produce year-to-date financials for board and investor review on a monthly cadence, and keep our reporting dashboards (currently Fathom) current
  • Respond to investor due-diligence requests and recurring quarterly financial-data asks
  • Support reporting and covenant requirements tied to our venture debt and investor relationships
  • Pull together supporting financial documentation for grant applications and similar one-off requests
