About The Position

The Assistant Community Manager supports the day-to-day operations of the property, with primary responsibility for leasing, resident relations, administration, rent collection, and customer service. This role helps maintain high occupancy levels, resident satisfaction, operational efficiency, and compliance with company policies and regulations.

Requirements

  • Strong customer service and relationship-building skills.
  • Property management or administrative experience preferred.
  • Minimum 2 years of relevant experience.
  • Knowledge of Ontario tenancy laws preferred
  • Strong communication and conflict resolution skills
  • High level of organization and attention to detail.
  • Computer proficiency in Microsoft Office; Yardi Voyager and Rent Café experience is an asset.
  • Self-motivated, detail-oriented, and able to manage multiple priorities effectively.

Responsibilities

  • Manage leasing activities, including inquiries, appointments, tours, applications, screening, approvals, lease signings, move-ins, renewals, and move-outs.
  • Maintain accurate leasing records and vacancy reports in Yardi Voyager and Rent Café.
  • Support marketing of vacant suites
  • Build positive relationships with residents and ensure an exceptional resident experience.
  • Coordinate resident events and engagement programs to promote retention.
  • Monitor market trends, competitor activity, and rental rates. Provide recommendations on pricing, promotions, and leasing strategies.
  • Develop partnerships with local businesses and community organizations to enhance resident services.
  • Maintain accurate resident files, lease documentation, and property records
  • Track rent payments and assist with arrears follow-up
  • Process purchase orders, vendor bills, and service orders follow ups
  • Assist with reporting Occupancy, Leasing Activity, and Service Request Tracking
  • Support budget monitoring as directed
  • Prepare and deliver notices and resident communications in compliance with regulations.
  • Ensure confidentiality and compliance with privacy requirements.
  • Provide administrative support and maintain office operations, supplies, and records.
  • Ensure company policies and procedures are consistently followed.
  • Respond promptly and professionally to resident inquiries, concerns, and complaints.
  • Deliver a high standard of customer service and represent the company positively.
  • Manage rent collection and monitor arrears.
  • Follow up on outstanding accounts and process legal notices when required.
  • Support collection efforts and ensure compliance with tenancy legislation.
  • Coordinate move-ins, move-outs, suite inspections, routine inspections and elevator bookings.
  • Monitor maintenance requests and ensure timely completion of work orders.
  • Follow up with residents to confirm satisfaction with completed work.
  • Coordinate with building staff and vendors
  • Track recurring issues (e.g., elevators, HVAC, water leaks)
  • Ensure compliance with all health, safety, fire, and tenancy regulations.
  • Report hazards, incidents, and policy violations promptly.
  • Support emergency preparedness and life-safety procedures.
