About The Position

Bluestone Real Estate Services is seeking an Assistant Commercial Property Manager to support our Commercial Property Management team while also managing a small portfolio of properties directly. This is a great opportunity for someone with strong administrative and customer service skills who wants exposure to all sides of commercial property management—from tenant and vendor relations to financial reporting, budgeting, and property operations. This is a full-time position based in our Portland corporate office and includes travel to properties throughout the Portland metro area.

Requirements

  • At least 1 year of experience in an administrative support role.
  • Excellent customer service and interpersonal skills.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and follow-through.
  • Ability to juggle interruptions, competing priorities, and multiple deadlines without losing track of the details.
  • Strong organization and time-management skills.
  • Proficiency with Word, Excel, Outlook, and standard office technology.
  • Willingness and ability to learn property management software.

Nice To Haves

  • Property management or related experience is a plus.

Responsibilities

  • Support Commercial Property Managers with day-to-day property and portfolio needs.
  • Serve as a primary contact for tenant and property service requests and coordinate vendors through completion.
  • Manage the department email inbox and help keep communication and requests moving.
  • Set up new tenants and coordinate tenant move-out settlements.
  • Track vendor compliance, property and tenant insurance certificates, work orders, and invoices.
  • Prepare correspondence, schedule meetings, maintain files, and provide other administrative support to the Commercial team.
  • Assist with operating expense reconciliations, monthly client financial packets, and other accounting-related projects.
  • Visit and inspect properties, meet vendors onsite, deliver keys, and assist with other property needs.
  • Provide occasional coverage for our Reception desk and assist with special projects as needed.
  • Conducting weekly property visits.
  • Communicating regularly with property owners.
  • Reviewing monthly operating statements and preparing variance reports.
  • Preparing annual property budgets.
  • Monitoring tenant delinquencies and sending appropriate notices.
