About The Position

The primary function of this role is to provide critical administrative and client support to the Commercial Lines department. Working under the direction of the Director of Commercial Lines Operations, this role is responsible for assisting Account Managers with policy management, documentation, client communication, and daily operational tasks. The Assistant plays a key role in maintaining accurate records, ensuring prompt service, and supporting the team’s commitment to delivering high-quality insurance solutions to clients.

Requirements

  • High School Diploma or equivalent required
  • Active Pennsylvania Property & Casualty license, or the ability to obtain the license within 90 days of hire
  • Previous experience in administrative support or customer service required
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn industry-specific systems, i.e., Applied Epic
  • Excellent verbal and written communication skills
  • Strong active listening and interpersonal abilities to support internal and external clients
  • Detail-oriented with strong organizational and time management skills
  • Effective problem-solving and analytical capabilities
  • Ability to manage multiple priorities and work independently in a fast-paced environment
  • Ability to pass a criminal background check, as permitted by law

Nice To Haves

  • Insurance or Financial Services industry experience preferred

Responsibilities

  • Provide general administrative assistance to the Commercial Lines Insurance team
  • Regularly interact with clients, vendors/carriers, Account Managers, and sales executives to support new and existing business
  • Process new policies, renewals, endorsements, cancellations, proofs of insurance, manage download activities, process audits & perform agency bill transactions
  • Maintain positive and professional relationships with internal departments to facilitate issue resolution and project completion
  • Attend team meetings, staff meetings, and carrier sessions to stay informed on departmental updates and industry trends
  • Perform receptionist duties including answering and transferring phone calls, taking messages, sorting, and distributing incoming mail, and preparing outgoing mail and packages
  • Accurately input client and policy data into the agency management system in a timely manner
  • Review policy documents and endorsements to ensure compliance with underwriting guidelines
  • Identify discrepancies or issues and escalate them to the appropriate Account Manager
  • Handle email and phone communications with professionalism and efficiency
  • Follow all agency systems, policies, and procedures as outlined in the operating manual
  • Participate in training sessions and professional development to build insurance knowledge and enhance skill set
  • Perform other duties as assigned
