About The Position

The Department of Otolaryngology - Head & Neck Surgery is recruiting an Assistant Clinical Research Coordinator (ACRC) for the Childern's Communication Center (CCC). Under the supervision of a Clinical Research Supervisor, the incumbent will perform entry-level duties related to the support and coordination of clinical research and outreach activities and may receive training and development to prepare and advance for journey-level work at the next level within the series.

Requirements

HS graduation and sufficient experience and demonstrated skills to successfully perform the assigned duties and responsibilities; and/or equivalent experience/training.
Computer experience: Microsoft applications, FileMaker pro, REDCap, video and photo editing software
Demonstrate attention to detail, complete projects on time, prioritize multiple tasks to meet deadlines, collaborate effectively with team members, adapt to changing priorities, and communicate clearly

Nice To Haves

1-3 years of experience working with children ages 0-18 years in a classroom or clinical setting
At least 1 year of experience working with deaf/hard-of-hearing children and their families
Proficiency in a second language (Spanish or Cantonese)
Fluency in the usage of Committee of Human Research (CHR) online iMEDris system for submission, renewal, and modification of protocols through this system.
Understanding the patient population to create rapport and a relationship while also giving insight into what is realistic and appropriate for patient participation.
Experience with electronic medical records.
Experience with REDCap database structure, maintenance, management and/or creation
Knowledge of UCSF and departmental policies for dealing with reimbursement, guidelines for research, confidentiality and HIPPA regulations, following the UCSF mission statement and purpose for research, and a clear understanding of policies and procedures on patient safety and confidentiality (electronic and hard copy medical records, patient charts, communication, etc.); knowledge of medical terminology, research policies and guidelines, guidelines for packing/shipping infectious substances, database building/analysis, and data management within some of the following: Access, Stata, SASS/ SPSS, and Teleform programming platforms.
Knowledge of medical terminology, research policies and guidelines
Prior experience as a teacher of children with special needs
Experience applying the following regulations and guidelines: Good Clinical Practice Guidelines, Health Information and Accountability Act (HIPAA), The Protection of Human Research Subjects, CHR regulations for recruitment and consent of research subjects, Effective Cash Handling Procedures, Environmental Health and Safety Training, Fire Safety Training

Responsibilities

Assistance with coordination and in-person participation in on-site and off-site CCC clinical research and outreach activities.
Telephone survey administration
Database management and data entry while maintaining data quality
Review of medical charts and electronic records to extract medical information and other data for use in studies
Help with the recruitment, enrollment, registration, scheduling, and retention of study participants
Assistance to research personnel to keep patients on study schedules
Administrative support for research study activity (including working with the UCSF Committee for Human Research and other regulatory agencies)
Performance of other duties as assigned
Patient Management: Working in collaboration with others, schedules and tracks patient visits, tests, procedures and follow up according to protocol; provides calendars and schedules to patients; obtains insurance authorization for tests/procedures. Assist research personnel to keep patients on study schedules. Assistance to research personnel to keep patients on study schedules. Assistance with coordination and in-person participation in on-site and off-site CCC clinical research and outreach activities. Help with the recruitment, enrollment, registration, scheduling, and retention of study participants. Administrative support for research study activity (including working with the UCSF Committee for Human Research and other regulatory agencies)
Data management and reporting of results: Abstracts clinical data from medical records; enters data onto case report forms, study flow sheets, and other forms; submits required data and data forms in accordance with accuracy and timeliness requirements of the protocols; addresses and resolves data queries; identifies, investigates and resolves data quality issues. Database management and data entry while maintaining data quality. Review of medical charts and electronic records to extract medical information and other data for use in studies. Help design flow sheets, data forms and source documents. Gather and interpret data regarding clinical trial subjects. Assist with data analysis; Assist with preparation of reports and tables. Record protocol specific treatments.
Miscellaneous: Helps prepare for audits/monitoring visits by sponsors and/or regulatory agencies; Monitors study supply inventory and reorders as needed; maintains research charts and study binders; and performs other related duties as assigned. Help prepare protocols for study initiation. Helps to maintain and post content for website and social media platforms. Assists with organizing and conducting community outreach and educational activities.
