About The Position

Provides administrative support and customer service to the Business Services Office’s internal and external business partners.

Responsibilities

  • Support Business Services leadership team members by creating, updating, and distributing written documents, correspondence and reports to internal and external stakeholders.
  • Performs administrative tasks, including data entry, verifying inputs, scanning documents, and maintaining e-files.
  • E-file documents and digital content in the applicable repository using the standard naming convention(s).
  • Support the Small Business Development Programme (SBDP) community outreach efforts.
  • Scan and tag assets as part of the district-wide asset management (inventory) process.
  • Update the DebtBook repository with the lease and software documentation.
  • Utilize a task management tool to log, track, and ensure the timely and accurate completion of deliverables.
  • Assist with verbal and written general enquiries from internal and external business partners, or redirect them to other Business Services Office departments.
  • Collaborate with Business Services team members on tasks to maintain business continuity or special projects.
  • Gathers, compiles, and enters data, producing routine reports and documents.
  • Produces handouts, fliers, newsletters, brochures, manuals, and other documents.
  • Answers the telephone, routes calls, or takes messages; responds to and/or directs inquiries in person or on the telephone.
  • May input budget figures, prepare requisitions, log and track expenditures, take payments, or issue invoices or bills.
  • Maintains tracking systems and logs.
  • Assist with the semi-annual stale cheque (escheatment) process.
  • Update supplier records, as requested, to facilitate timely, accurate payments.
  • Assist team members with organising their procedure (usually videos) updates.
  • Maintain accurate records in Box and other repositories.
  • Works in a team environment to perform a plethora of administrative tasks.
  • Other duties as assigned.
