About The Position

The Assistant Athletic Director provides administrative leadership in planning, implementation, coordination, supervision, and evaluation of interscholastic athletic programs for the District. This role promotes extracurricular athletic activity that fosters skill development, understanding and appreciation of a variety of athletic activities, teaming, and sportsmanship for students and adults.

Requirements

  • Bachelor's or Associate Degree; Degree in Sports Management preferred or minimum of 4 years experience in related field.
  • Uses standard office equipment such as personal computers, printer, copier and fax machines, calculator and telephone.
  • Uses equipment and supplies related to sports, athletics, and physical fitness.
  • Travel to school district buildings and professional meetings as required.

Responsibilities

  • Attend and manage athletic events as assigned
  • Confirm scheduled event workers for each event, adjust as needed
  • Responsible for meeting event staff 45 minutes prior to the start of each contest
  • Greeting officials and opponents upon arrival and escorting them to designated locker rooms/team benches
  • Responsible for collection and reconciling money boxes for assigned events at halftime of varsity event
  • Assist with groups' special events such as Pink Outs, Youth Nights, Senior Nights
  • Prepare Complimentary Ticket Packages for home games in football, boys and girls basketball
  • Maintain attendance reports for all ticketed events
  • Coordinate hospitality meal for home football games
  • Prepare the press box for football events
  • Schedule EMS for appropriate events (in collaboration with athletic trainers)
  • Preview all Warm-Up CD's for clean and appropriate content
  • Prepare Promotional items to be tossed or distributed at sporting events
  • Send daily attendance report to in-season coaches
  • Send weekly facility schedule to coaches, maintenance, and security
  • Print and send bus requests for each sporting event to Transportation Department
  • Assist with facility scheduling and input practice schedules in ML Schedules
  • Input sports schedules on Schedule Star for Varsity, JV, freshman, Junior High, and Middle School Sports for the fall, winter and spring seasons (50 sports teams altogether)
  • Input sports rosters on BOTH Schedule Star and eschool for Varsity, JV, freshman, Junior High, and Middle School Sports for the fall, winter and spring seasons
  • Send rosters and schedules to all WPIAL, Media Outlets and Opponents
  • Preparation of Sport Awards for all "In Season" and "Club" sports including both middle school and high school sports: (Approx. 800 to 1,000 athletes/season)
  • Contact coaches for award information
  • Printing of individual athlete's certificates, organizing their letters, graduation numbers and service bars, and ordering name plates online for the individual 3rd and 4th year Varsity plaques
  • Assist with preparation for Pre-Season Coaches Meetings
  • Prepare End of Season information packet for coaches
  • Assist with Title IX Compliance Report
  • Assist with Booster Communications
  • Coordinate the purchasing of Varsity Jackets
  • In collaboration with the Athletic Director and head coaches, assist in the review and approval of all team rules, regulations, handbooks and/or contracts for both student-athletes and parents prior to distribution.
  • Act as the primary social media coordinator - promoting events, student achievements and all other noteworthy athletic news
  • Assist with College Bound Student Athlete Recognition Reception
  • Collect summer camp information from coaches; prepare a list for all the sports camps offered in the summer.
  • Foster strong relationships with community leaders to ensure seamless collaboration on shared use of facilities and resources.
  • Assist in the facility scheduling through the district's ML Schedules system.
  • Share updated availability of athletic spaces with community programs, ensuring transparency on any changes, conflicts, or cancellations.
  • Coordinate with the scheduler to ensure optimal use of spaces, resolving scheduling conflicts in a timely manner.
  • Communicate staffing needs, event requirements, and any special requests through ML Schedules to appropriate District Departments.
  • Communicate any changes to facility availability, cost structure, or usage guidelines to both internal stakeholders and community partners.
  • Oversee facility inspections to report damages or issues, coordinating repairs or cleanups as needed.
  • Address and track issues such as damage, misusage, or maintenance needs, and relay this information to appropriate parties.
  • Collaborate with the maintenance, custodial, and security departments to ensure proper staffing for all events based on requests in the ML Schedules system.
  • Ensure that facilities are properly prepared, staffed, and cleaned before and after events.
  • Works on special projects assigned by the Athletic Director
  • Serve in the capacity of the Athletic Director in his or her absence.
  • Fulfill other duties and tasks assigned by Athletic Director and High School Principal.
  • Serve as the primary point of contact, along with the Supervisor of Facilities and Operations, between the high school's athletic department and local community recreation programs.
