About The Position

The Assistant Athletic Director serves as the Athletic Director's principal operational partner and is responsible for directing the day-to-day administration and operational execution of the School's athletic program. Reporting to the Athletic Director, the Assistant Athletic Director exercises independent judgment in directing athletic operations, supporting coaches, administering departmental systems and resources, and ensuring athletic programs are conducted safely, efficiently, and in accordance with School policies and departmental objectives. The Assistant Athletic Director assists in ensuring continuity of leadership and departmental operations while serving as the Athletic Director's operational deputy.

Requirements

  • Bachelor's degree from an accredited institution or an equivalent combination of education and relevant experience.
  • Experience in athletic administration, coaching, education, event management, or a related field.
  • Demonstrated ability to exercise sound judgment, manage multiple priorities independently, and make operational decisions in a fast-paced environment.
  • Strong organizational, communication, and relationship-building skills.
  • Proficiency with Microsoft Office and technology supporting athletic administration.
  • Ability to work evenings, weekends, and other hours necessary to support athletic events.
  • Successful completion of required background screening.

Nice To Haves

  • Experience in an independent school or educational setting.
  • Experience administering or supporting FHSAA athletic programs.
  • CPR, First Aid, and AED certification.

Responsibilities

  • Direct the day-to-day operational activities of the athletic department.
  • Recommend, implement, and continuously improve operational systems and procedures that enhance departmental efficiency and effectiveness.
  • Direct athletic scheduling, game confirmations, officials, transportation, and event logistics.
  • Direct and oversee game-day operations, including facility readiness, visiting team coordination, and operational support.
  • Coordinate tournaments, special events, and off-campus athletic activities.
  • Serve as the Athletic Director's operational designee for assigned athletic contests and events.
  • Administer the department's equipment, uniform, and inventory management program.
  • Evaluate operational needs and authorize routine purchases consistent with the approved budget and delegated purchasing authority.
  • Coordinate procurement of athletic equipment, uniforms, and sport-specific supplies.
  • Maintain departmental records and operational documentation.
  • Support seasonal planning and operational readiness across all athletic programs.
  • Administer departmental compliance processes, including eligibility documentation, required clearances, and operational records.
  • Assist in ensuring compliance with School policies, FHSAA regulations, conference requirements, and departmental procedures.
  • Coordinate incident documentation, emergency preparedness, and operational risk reporting.
  • Promote safe athletic practices and recommend operational improvements that strengthen efficiency and student safety.
  • Serve as the primary operational resource for coaches regarding scheduling, transportation, facilities, equipment, weather, and game logistics.
  • Develop and manage departmental communications, including newsletters, website content, and social media.
  • Promote athletic accomplishments and strengthen communication with students, families, and the School community.
  • Build positive relationships with students, parents, coaches, officials, volunteers, and visiting schools.
  • Collaborate with the Director of Facilities, Director of Information Technology, and other School leaders to ensure successful athletic operations and events.
  • Represent the School professionally at athletic contests, meetings, and community events.
  • Direct daily athletic operations and game-day activities.
  • Implement departmental operating procedures and operational priorities established by the Athletic Director.
  • Exercise independent judgment in resolving operational issues affecting athletic programs and events.
  • Authorize routine operational purchases within delegated purchasing authority.
  • Direct game-day personnel, volunteers, and student workers.
  • Recommend operational improvements, equipment replacement, staffing needs, and budget requests.
  • Serve as the Athletic Director's designee for assigned athletic events and operational matters.
