About The Position

The Assistant AP Manager is responsible for handling all aspects of the accounts payable day to day operations, supervising AP staff, resolving discrepancies, invoice processing, vendor management, and reconciling vendor statements. This role ensures financial accuracy, compliance with company policies, and timely payments to vendors. Works Independently with little supervision.

Requirements

  • Requires 3–5 years of accounts payable experience and data analysis, with prior leadership or supervisory experience preferred.
  • Bachelor’s degree in accounting, Finance, or Business Administration preferred.
  • Proficiency in ERP systems (e.g., Oracle, NetSuite) and MS Excel.
  • Strong communication, attention to detail, and analytical skills.

Responsibilities

  • Oversee AP day-day functions, review, verify, and process vendor invoices for accuracy and proper approval.
  • Match invoices with purchase orders and receipts (3-way matching)
  • Enter invoices into accounting systems and maintain accurate records
  • Prepare and process payments (checks)
  • Reconcile vendor statements and resolve discrepancies
  • Communicate with vendors regarding payment status and issues
  • Maintain organized and up-to-date accounts payable files and documentation
  • Ensure compliance with internal controls and accounting policies
  • Support managers with audits by providing necessary documentation requested
  • Takes ownership and accountability
  • Treats all people with respect and is a "team player" within department and within Organization
  • Performs additional job duties as assigned and directed
  • Must meet regular and predictable attendance requirements.
  • Abides by department, personnel and company policies and procedures
  • Supervise/mentor AP Staff, provide Guidance, review work, provide training as needed and acts team lead.
  • Exercised discretion and independent judgement
  • Process employee expense reports for reimbursement, ensuring compliance with company policies
