About The Position

This role provides essential administrative coverage across multiple Radiology Reading Rooms. The Assistant-Administrative serves as the primary point of contact for visitors, clinicians, and staff, managing all incoming communications. Key responsibilities include coordinating imaging studies, procedural requests, and provider communications, as well as tracking and documenting requests to ensure timely resolution. The position supports radiologists with critical communication workflows, call placement, fax management, and requisition processing. Additionally, the role involves importing and managing external imaging and patient records within various healthcare information systems, monitoring worklists and internal communication channels, and assisting with workflow continuity during staffing shortages or other coverage needs. A high level of accuracy is required while working within multiple software applications and hospital-specific processes.

Requirements

  • High School Diploma/GED required.
  • Requires 0-3+ years relevant experience; previous administrative experience preferred.
  • Requires basic proficiency in MS office (Word, PowerPoint, Excel).
  • Adaptability and flexibility to work in different hospital locations and quickly transition between varying workflows.
  • Strong communication skills with the ability to interact professionally with physicians, clinical staff, patients, and leadership.
  • Critical thinking and problem-solving abilities in a fast-paced healthcare environment.
  • Excellent organizational and time-management skills with the ability to prioritize competing demands.
  • Attention to detail and commitment to maintaining accuracy in documentation and task completion.
  • Ability to learn and apply multiple workflows, systems, and radiologist preferences.
  • Strong customer service skills and a collaborative approach to supporting diverse teams.
  • Technical proficiency with electronic medical records, imaging systems, and Microsoft Office applications.
  • Ability to work independently while effectively managing changing priorities and coverage assignments.

Responsibilities

  • Provide administrative coverage across multiple Radiology Reading Rooms as assigned.
  • Serve as the primary point of contact for visitors, clinicians, and staff by managing incoming phone calls, emails, voicemails, and other communications.
  • Coordinate imaging studies, procedural requests, and provider communications with referring offices and clinical teams.
  • Track, prioritize, and document requests, ensuring timely follow-up and resolution.
  • Support radiologists with critical communication workflows, call placement, fax management, and requisition processing.
  • Import and manage external imaging and patient records within various healthcare information systems.
  • Monitor worklists, internal communication channels, and task queues to support efficient workflow operations.
  • Assist with workflow continuity during staffing shortages, vacations, training periods, and other coverage needs.
  • Maintain a high level of accuracy while working within multiple software applications and hospital-specific processes.
