The Deputy Minister's Office leads and is responsible for the department's day-to-day operations, budget, and program development. Alberta Energy is seeking an ARTS Administrator to support correspondence coordination, records management, and information tracking activities that help ensure timely and effective support to senior leadership. This role is ideal for someone who enjoys managing competing priorities, improving processes, and providing excellent client service.

Requirements

  • Professionalism, diplomacy, and sound judgment when handling sensitive information.
  • A high school diploma with a minimum of 3 years of progressively related experience in Administrative Coordination, Records & Information Management, and Correspondence Management.
  • Related experience or education may be considered as an equivalency on a one-for-one basis.

Nice To Haves

  • Knowledge of Freedom of Information and Protection of Privacy (FOIP) legislation and processes.
  • Experience providing administrative or coordination support to senior leaders or executive offices.

Responsibilities

  • Coordinate and track correspondence, briefing materials, information requests, and related workflows.
  • Monitor priorities and deadlines while liaising with stakeholders to ensure timely completion of requests.
  • Research and gather information to support issue resolution, decision-making, and executive correspondence.
  • Provide guidance, training, and support on business processes and information management practices.
  • Support records management activities, including document tracking, retrieval, retention, and compliance.
  • Assist with access to information and privacy-related requests.
  • Review and edit documents for accuracy, consistency, and adherence to standards.
  • Maintain tracking systems, prepare reports, identify trends, and support process improvements.
  • Build positive relationships with stakeholders while providing professional and responsive service.
  • Provide operational support and team coverage to ensure business continuity.
