About The Position

The Art Foundation Program Facilities & Equipment Coordinator supports the daily operations of the VCUarts Art Foundation Program for faculty, staff, and students. This role is responsible for managing program technology, equipment, and rentals, overseeing inventory and the checkout system, coordinating reservations for specialized spaces like the green screen room and student presentation areas, monitoring classroom and facility conditions, and assisting with the supervision of a student staff of 6 to 10 individuals. The position reports to the Program Coordinator and requires strong customer service, administrative, organizational, and communication skills, representing the Program and School to various stakeholders.

Requirements

  • BFA degree or equivalent combination of education, training, and relevant professional experience in the arts.
  • Demonstrate proficiency with audio and video equipment and digital technologies.
  • Manage related gear and specialty equipment, including grip and electric equipment.
  • Proficiency with Mac OS and Google Workspace applications.
  • Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do as a staff member at VCU.

Nice To Haves

  • Proficiency with Adobe Creative Suite (Photoshop, Illustrator, and InDesign).
  • Knowledge of and fluency in audio production/post-production technologies.
  • Demonstrate strong attention to detail, troubleshoot equipment issues effectively, and manage multiple projects simultaneously.
  • Familiarity with professional procedures and organizational systems.
  • Effective independent time management skills.
  • Proven aptitude for quickly learning new technical skills.

Responsibilities

  • Oversee the checkout process for both digital equipment (such as cameras and microphones) and physical equipment (such as sewing machines and pedestals).
  • Ensure student workers inspect all equipment and components before issuing them, and confirm that students verify this inspection before leaving. Repeat this process when equipment is returned.
  • Monitor equipment status and functionality.
  • Oversee and track department consumables in collaboration with student workers.
  • Oversee specialty equipment located within facilities.
  • Oversee specialty services.
  • Coordinate large-scale equipment checkouts for faculty and events.
  • Support the annual student technology fee survey.
  • Research new and replacement equipment options, considering both cost and capability.
  • Provide technology and user support to faculty and students as needed.
  • Troubleshoot smart classroom and equipment issues, and submit IT support tickets as necessary.
  • Coordinate with the Program Coordinator to facilitate equipment repair or replacement.
  • Develop tutorials and videos on technology and equipment usage in collaboration with the Resource Lab.
  • Support the Administrative Assistant & Communications Coordinator in supervising student workers.
  • Support the Administrative Assistant & Communications Coordinator in training student workers on the checkout process.
  • Support the Administrative Assistant & Communications Coordinator in training student workers on equipment use and troubleshooting.
  • Cover the front desk when the Administrative Assistant & Communications Coordinator and a student worker is absent.
  • Oversee maintenance of department facilities, including storage, student presentation areas, and the green screen room.
  • Oversee faculty reservations for student presentation areas.
  • Inspect facilities for damage or missing supplies and submit work tickets as needed.
  • Supervise student workers and ensure adherence to safety protocols.
  • Support program-level student workshops.
  • Support program-level events, including student socials, shows, and clubs.
  • Support program-level involvement in university-wide special events, such as open house and new student orientation.
  • Prompt and professional communication.
  • Good relations with students and faculty.
