About The Position

The Archive Management Coordinator is an integral member of the Studio Mastering & Content Operations (SMCO) Team, located in Universal City, California. Archive Management Coordinators are responsible for conducting research in a variety of Physical and Digital Asset Management systems, the comprehensive tracking of a multitude of assets, and active research and migration tasks of a physical and digital nature. The Archive Management Coordinator partners with key stakeholders across operations and divisions and on existing workflows, reviewing legacy databases and contributing input on best practices and evolving SOPs, especially in consolidation and alignment of assets into a singular platform. All members of the Archive Management team contribute to establishing new, ever-evolving policies and procedures related to maintaining the integrity of the NBCUniversal content library and the assets contained and created within that vast collection.

Requirements

  • Advanced skills in database management systems including Xytech and FileMaker Pro
  • Familiarity with AV component assets involved in creating servicing level and archival grade assets
  • Experience with digital file transfer operations (Aspera, FTP, etc)
  • Working knowledge of animation terminology from traditional hand drawn era to current CGI and hybrid formats
  • Understanding of archival standards for movement and handling of physical assets across the spectrum of film/tape/media including domestic and international shipments
  • Familiarity with digital media formats both current and obsolete
  • A minimum of 2 years of experience of Microsoft Office Suite applications (including Outlook, Word, Excel, PowerPoint) with an emphasis on Excel and advanced pivot table functions
  • Experience with Google Docs
  • Bachelor’s Degree in a relevant archival library management media-related field with an emphasis on data management and/or moving image and recorded sound specialization
  • 1+ years of experience in entertainment field related to work with legacy (“archival”) assets and dealing with current production and delivery standards
  • 1+ years of experience in an environment focused on delivery accountability
  • Experience in localization and post production a strong plus

Responsibilities

  • Research asset inventory databases on multiple platforms
  • Navigate title management and inventory systems to research and validate metadata
  • Create and manage comprehensive asset tracking documents with accuracy and update existing tracking documents in real time across multiple platforms
  • Clearly communicate the status of assets, titles & metadata research with internal and external stakeholders
  • Efficiently review and evaluate for approval a high volume of accounts payable invoices and proactively resolve discrepancies
  • Provide feedback on research results with a hierarchy of assets based on quality and availability to meet deadline driven demand
  • Interact with Sourcing & Logistics team on coordination of asset movement and interaction with Union team members on reporting inventory location metrics
