About The Position

Responsible for interacting with Architectural Control Committee members, contractors, property owners, and employees to provide information and help pertinent to all aspects of exterior renovations and miscellaneous projects.

Requirements

  • High School Diploma or GED
  • 3 – 5 years as an architectural control inspector, building contractor, and/or building inspector.
  • Customer Service Experience
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient with Microsoft Office Suite or related software.
  • Valid TN Driver’s License.

Responsibilities

  • Work closely with contractors, and property owners to receive, review, and process Architectural Control submittals for new homes, and miscellaneous projects. Ensure all required information is provided.
  • Accept and process applications and applicable fees; conduct pre-approval and post-completion inspections to ensure compliance with Fairfield Glade Community Club policies and Architectural Control requirements.
  • Respond to property owner and contractor questions, concerns, and complaints in person, by phone, or through written communication, providing accurate information regarding Architectural Control requirements and processes.
  • Participate in Architectural Control Committee meetings held on the 1st and 3rd Tuesdays of each month. Assist with compiling agenda items, prepare necessary supporting documentation, and record meeting minutes.
  • Communicate Architectural Control Committee decisions, including approvals, denials, inspection requirements, extensions, and new home pickup requirements, to property owners and contractors.
  • Maintain accurate and current records of Architectural Control applications, projects, inspections, violations, fines, approvals, denials, and related correspondence using computerized systems and established filing procedures.
  • Issue and maintain documentation related to violations and fines.
  • Prepare supporting documentation regarding Architectural Control activities and matters referred by the Architectural Control Committee to the Board of Directors.
  • Prepare and send official correspondence, including approval letters, inspection notices, extension letters, violation-related correspondence, and new home pickup letters.
  • Maintain and update the Architectural Control New Home Requirements, Manufactured Home Requirements, and Exterior Addition Requirements. Develop and maintain forms and other documents necessary to support Architectural Control processes.
  • Maintain a high level of effective communication and knowledge sharing with Architectural Control staff, management, Committee members, contractors, property owners, and other departments.
  • Provide administrative and operational support to the Architectural Control Office and Manager and perform other duties as assigned.
