About The Position

We’re hiring an AR & AP Associate to support our portfolio of clients by owning day-to-day accounts receivable and accounts payable processing. This role is critical to keeping our clients’ financial operations running smoothly and predictably. This is not a transactional “push buttons all day” role. You’ll be working across multiple clients, interacting directly with founders, operators, and vendors, and helping build efficient, repeatable systems as we scale. The right person enjoys context, takes pride in clean execution, and knows when to escalate versus when to solve independently. Success in this role means AP and AR are accurate, timely, and predictable across the portfolio; clients view you as a trusted, reliable point of contact; risks and issues are surfaced early; and processes continuously improve, allowing engagement leads to spend less time firefighting and more time advising. On any given day, week, or month you will be responsible for:

Requirements

  • You took accounting classes in college and they excited you.
  • You’re energized by process improvement and learning new technologies.
  • You bring strong recall and context retention across multiple clients.
  • You are comfortable working directly with clients and external vendors.
  • You have a systems-oriented mindset with a bias toward efficiency and clarity.
  • You have experience documenting processes and creating SOPs.
  • You are tech-savvy and comfortable working in modern SMB finance stacks.
  • You have hands-on experience with tools like Ramp, Bill.com, Stripe, and QBO (or similar platforms).
  • You demonstrate high attention to detail with consistent follow-through.
  • You communicate clearly and effectively in writing and verbally.
  • You have prior experience working in a fractional, agency, or multi-client environment.
  • You bring exposure to SaaS, professional services, or nonprofit accounting.
  • You have an understanding of basic cash flow concepts and financial controls.

Responsibilities

  • Processing vendor bills accurately and on time across multiple client environments.
  • Managing AP workflows using tools like Ramp, Bill.com, and QBO.
  • Ensuring proper coding, approvals, and documentation are in place.
  • Monitoring AP aging and proactively flagging risks or anomalies.
  • Coordinating with vendors and clients to resolve discrepancies.
  • Generating and sending invoices via QBO, Stripe, or client-specific tools.
  • Tracking collections and following up on past-due balances with professionalism.
  • Maintaining AR aging schedules and surfacing risks to engagement leads.
  • Assisting with client-specific billing nuances (retainage, milestones, reimbursements, etc.).
  • Communicating directly with clients via email and video calls regarding AP/AR matters.
  • Asking clarifying questions, confirming context, and closing loops without hand-holding.
  • Representing the firm professionally and reliably as a day-to-day point of contact.
  • Building and maintaining efficient AP/AR workflows across clients.
  • Identifying recurring issues and proposing process improvements.
  • Documenting SOPs as processes are created or refined.
  • Helping standardize best practices across the client portfolio.
  • Exercising sound judgment on when to escalate issues to team leads.
  • Flagging cash flow risks, client responsiveness issues, or control breakdowns early.
  • Balancing autonomy with collaboration in a fast-moving environment.
