About The Position

We are seeking a detail-oriented Applied Epic System Administrator to manage and maintain HUB's insurance broker management platform. This role is critical in ensuring our Applied Epic system operates efficiently, data integrity is maintained, and end-users receive the support they need to maximize system capabilities. The successful candidate will report to the IT Systems Manager and work closely with operations, compliance, and vendor partners.

Requirements

  • Minimum 2 years of hands-on experience with Applied Epic Administration or a comparable insurance broker management system.
  • Strong understanding of insurance operations, workflows, and industry terminology.
  • Proven experience with data management, reporting, and system configuration.
  • Excellent problem-solving and analytical skills.
  • Strong communication skills with the ability to explain technical concepts clearly to non-technical users.
  • Applied Epic system administration
  • Microsoft Office Suite, with advanced Excel proficiency
  • System testing and quality assurance methodologies

Nice To Haves

  • Bachelor's degree in Business Administration, Information Technology, or a related field; an Associate's degree or equivalent combination of education and work experience will be considered.
  • Experience with additional broker management systems (e.g., Vertafore AMS360, Hawksoft).
  • Familiarity with insurance industry compliance and data privacy regulations.

Responsibilities

  • Administer and maintain the Applied Epic insurance broker management system.
  • Monitor system performance, proactively troubleshoot issues, and implement solutions in coordination with the vendor.
  • Manage system upgrades, patches, and version releases, coordinating with vendors and internal stakeholders to minimize disruption.
  • Configure system settings, workflows, and business rules to align with organizational processes.
  • Maintain up-to-date system standard operating procedures (SOPs) and technical documentation.
  • Perform regular data audits and cleanup activities to ensure accuracy and consistency.
  • Manage data imports, exports, and integrations with third-party systems.
  • Ensure legal data retention requirements are met for primary and legacy platforms.
  • Enforce data governance policies across the organization.
  • Serve as the third-level escalation point for Applied Epic support, researching and resolving complex system issues that cannot be addressed at lower support tiers.
  • Coordinate resolution activities with technical support staff, operations management, and the system vendor as needed.
  • Support month-end processing activities, including the execution and validation of month-end scripts.
  • Maintain assigned systems and coordinate with other departments to proactively avoid scheduling conflicts or system disruptions.
  • Identify and recommend opportunities for process improvements and enhanced system utilization.
  • Participate in change management utilizing ITIL framework.
  • Ensure compliance with IT general control best practices for user access controls and security.
  • Maintain user access controls and security permissions in accordance with company policy.
  • Ensure compliance with insurance industry regulations and data privacy requirements.
  • Conduct regular security audits and implement recommendations to mitigate risk.
  • Design and generate application specific reports to support business operations and decision-making.
  • Analyze system usage patterns and recommend optimization strategies.
  • Support cost containment initiatives, including license management and the retirement of legacy platforms.
  • Participate in Applied Epic implementation, upgrade, and enhancement projects.
  • Collaborate with IT teams, vendors, and business stakeholders on system-related initiatives.
  • Evaluate new features and technologies to improve system capabilities.
  • Participate in testing processes for system changes and new functionality.
