About The Position

The Appearance Center Manager is responsible for providing effective leadership to the unit/team, strategically identifying and communicating critical success factors, and managing organizational responsibilities to achieve unit/team goals. This role involves working effectively with the management team, administering and allocating resources, and modeling appropriate values. The manager creates a "big picture" understanding of the hospital and ensures the department supports the organization's competitive position. They use appropriate interpersonal styles to foster cooperation and focus on key stakeholders to deliver on expectations. Financial acumen is required to analyze situations and make decisions supporting departmental objectives. The role also includes oversight of facilities management, ensuring personal performance of Professional Practice Ethics, Patient Assessment and Evaluation, Effective Communication/Patient Education, Orthosis/Prosthesis Application and Delivery, Patient Follow up, Proper Patient Preparation/Measurements, and Evaluation/Selection of Products/Model/Type. Additionally, the manager supports and coaches staff, provides exceptional customer service, handles payment posting, daily reconciling, and daily business management, monitors budgeted expenditures, and is responsible for equipment validation, maintenance, and record keeping. The position operates the department to meet regulatory requirements and develops and implements quality assurance plans. They ensure personnel are trained and follow ethical practices, create and maintain departmental policy and procedure manuals, and maintain collaborative relationships with physicians, nurse managers, and other referral sources.

  • Responsible for posting payments, daily reconciling, and daily business management.
  • Monitors budgeted expenditures and keeps the section expenditures within 5% of the annual budget as adjusted for volume changes.
  • Responsible for equipment validation, maintenance, and record keeping.
  • Operates the department, meeting and/or exceeding all regulatory requirements according to the American Board of Certification in Orthotics, Prosthetics and Pedorthics, and The Joint Commission.
  • Develops an annual QA plan, actively participates in the QA process and assures the completion of quarterly reports.
  • Assure that personnel in the section are adequately trained and follow ethical practices in all aspects of services.
  • Creates, updates, and maintains departmental policy and procedure manuals.
  • Maintain close, collaborative relationships with physicians, nurse managers and other customers/referral sources.
  • Determine elements of the fitting room (e.g., adjustable stool, exam/fitting table, mirror, hard back chair etc.
  • Determine required equipment, tools and materials.
  • Comply with environmental safety regulations in all practice settings (e.g., work place hazards).
  • Assure quality care by development and maintenance of policies and procedures regarding patients, prescribers, personnel, maintenance of records, etc.
  • Comply with HIPPA regulations.
  • Maintain patient confidentiality.
  • Assist in training, lectures, and information to staff or other health care professionals on current orthotics and prosthetic information.
  • Participate in a quality assurance system that evaluates patient care.
  • Participate in professional and educational symposiums.
  • Establish relationship with patient.
  • Patient Intake: Record all personal and insurance information about patient.
  • Discuss financial matters for services/devices.
  • Determine patients expectations.
  • Interview patient and obtain history.
  • Collect and evaluate patient records.
  • Recognize the pathology of the disease to provide the proper care.
  • Discuss any related medical treatments.
  • Evaluate and assess patient to determine: Skin condition, Range of motion, Manual dexterity, Posture and gait, Sensation.
  • Assess prescription: Determine elements of a valid prescription, Verify validity of prescriber, Verify information contained on prescription, Determine relation of prescription to presenting problem.
  • Discuss prescription with patient (i.e., explain the patient’s role /responsibility).
  • Contact prescriber if discussion/revision is necessary.
  • Explain purpose /objective of orthosis/prosthesis.
  • Inform patient and/or caregiver of the various procedures to be performed.
  • Explain advantages and disadvantages.
  • Determine patient’s expectations.
  • Explain patient’s role/responsibilities.
  • Provide initial instructions: Instruct patient and/or caregiver in care of orthosis and prosthesis, Demonstrate proper application, alignment, and removal, Instruct patient and/or caregiver in fitting adjustments such as tightening straps etc.
  • Explain how to recognize potential problems (e.g., pressure points, skin breakdown, numbness, contractures).
  • Explain care and cleaning procedures.
  • Evaluate psychological impact of devices on patient, family and others.
  • Procedures for patient follow-up: Initiate and encourage on-going communication with patient and./or caregiver, Maintain patient’s record, Inform patient and/or caregiver of provisions for continued servicing of device (e.g., adjustments and consultations).
  • Communicate with the patient and/or caregiver verbally and in writing.
  • Conduct inter-professional communications.
  • Finalize alignment and fit orthosis/prosthesis to patient.
  • Don orthosis/prosthesis to patient and finalize alignment, fit, and cosmetic appearance.
  • Demonstrate to patient and/or caregiver donning, doffing, fitting adjustments and care of orthosis and prosthesis.
  • Explain how to recognize potential problems.
  • Have patient or caregiver demonstrate proper application and removal.
  • Have patient and/or caregiver sign receipts and acknowledgments.
  • Explain follow-up procedures.
