About The Position

The Annuity New Business Coordinator is responsible for supporting the efficient processing and continuous improvement of annuity new business operations. This position monitors workflow and attrition trends to support operational performance and process improvement. The Annuity New Business Coordinator will also play a key role in partnering with Learning & Development, ensuring consistent application of procedures and best practices across the team. This position is also responsible for maintaining and updating standard operating procedures and field facing training material to reflect regulatory requirements and operational changes. As an annuity subject matter expert, the Annuity New Business Coordinator serves as a resource for complex annuity inquiries, providing guidance, resolving escalated issues, and supporting day-to-day operations during critical business periods. Through a combination of analytics, training, and process oversight, this position helps drive operational excellence, enhance team capability, and improve the overall customer and advisor experience.

Requirements

  • Minimum of 4 years of financial service or annuity operations experience.
  • A bachelor’s degree.
  • FINRA Securities licenses are preferred (Series 6 or 7).
  • Exceptional organizational, written, and interpersonal communication skills.
  • Strong ability to simultaneously manage multiple business processes or functions.
  • Exceptional level of accountability, discretion, and independent decision making.
  • Demonstrates a positive, professional, and proactive approach to work.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Responsibilities

  • Coordinate and track annuity new business from receipt through issuance, ensuring workflows are completed accurately and timely.
  • Monitor application status across systems, proactively following up with internal teams, distributors, or partners to resolve outstanding requirements.
  • Serve as a central point of contact for Financial Advisors to resolve outstanding requirements for new business and post issue transactions.
  • Escalate issues appropriately and recommend solutions to prevent processing delays or rework.
  • Apply established controls and checkpoints to ensure completeness, accuracy, and regulatory adherence.
  • Maintain a customer‑centric mindset, balancing speed, accuracy, and compliance.
  • Possess a broad mastery of Guardian’s annuity products, systems, and business rules to provide immediate, hands‑on support where workloads fluctuate.
  • Identify opportunities to simplify processes, reduce touchpoints, and improve clarity for internal and external partners.
  • Provide feedback on recurring issues, trends, or gaps that impact efficiency or quality.
  • Assist with updating procedures, job aids, and checklists to support consistent execution.
  • Partner with Product Management, Compliance, and various departments across the organization to orchestrate successful and compliant product launches.
  • Assist in system testing and create training materials for the team.
  • Act as a business liaison, defining detailed requirements for process improvements and delivering key updates to management.
  • Facilitate and influence cross-functional initiatives, working with leadership to drive operational improvements.
  • Participate in change management efforts, ensuring smooth adoption of new processes and technologies.
  • Operate at a high level to consistently exceed business unit quality and service level agreement standards.
